Purpose of The Fair • The only fundraising event → to support all of the activities that the PTA funds PTA budget for next year is created from the profits of the International Fair • To highlight the diversity and culture of our community through cuisines and performances • To bring the community together

Where The Money Goes 75% PTA activities: • The Senior Scholarship • The Teachers Appreciation Events • The Welcome Breakfast for Parents and New Parents in 2nd Semester • Students activities and support: Olympics, school party, snacks for HS exam, etc 25% Community Service: divided for 3 divisions • ES: school supplies for 200 unfortunate childrens • MS: OSMAN, teenage mums • HS: Hope Club, Fundana, Asoprogar • BIG activity: the Field of Toys event (party, activities and foods for the orphan children)

Finance • You manage your own finances price decision, consider to have a starting price, be flexible • Donate 100% profits (will be collected at the end of the fair) • Set pricing → to earn a profit • Request donations (food & materials) • Reduce, recycle, reuse → minimize the cost • Provide your own small change! (Please do not change money at the Raffle/Ticket booth)

Target Audience ECA community members & friends & family Please help: • Spread the word • Invite everyone you know • Help us to publish/promote The Event • to your colleagues in the office/company • your sports partners/ friends in social group/hobby group/association: BIG, Caracas Accueil, ADD, VAUUW, etc

What to Sell • Food and no beverages (for exception please approach us) • Have enough food for a min. 3 hours (starts 12pm) • Non-food items that represent their country, alongside food • Sales start at 12.30 pm only • At 12 pm the focus should be on the parade → this will help sustain your food supply until at least 3pm. • Do not disassemble the country booth until the International Fair closes at 4pm.

Booth Supplies • Three tables in a U-shape for each booth • PTA fund and International Fair entrance tickets will cover the cost of: • Electricity outlets, max 3 outlets (no strips) → supplied by ECA • Water/ice (ECA) • Tables • Chairs • Table cloths • Chafing dishes • Backdrops (ECA) • Support service: ECA maintenance staff • Please bring your own adaptor and extra outlets if needed (120v)

Green Ideas • Reduce the use of disposable utensils • Use your own reusable utensils, “Tupperware”, plates, water bottle, etc as many as you can • Reuse some materials and tools from last year • Recycle as much as we can → coordinate with the Green Team • Remember to sort the garbage • Remind people to do the same

Donation & Contribution • Country Booth Coordinator & Crew • Ready to sell food, food ingredients, materials, promotional materials, decoration for the booth, etc • Gifts for Raffle → before 21st March to Monica Rivero • Entertainment → before 14th March to Maria Patricia Casas • Entrance Tickets, Children’s Games & Raffles

Guidelines • You have the privilege as an ECA community member to participate in this event • This event is a community event & fundraiser, not a for-profit business • A for-profit service or outside company/office will not be hired to run the booth. • You may consult, get donations or invite outsiders to participate, but they will be required to pay an entrance fee and donate all profits to the ECA PTA. • We no longer can have any outside vendors • You will manage your own finance and we encourage you to donate 100% of booth profits to the PTA fund for next year activities • All booths need to have at least one ECA parent/teacher present at the booth at all times during fair hours (12pm-4pm) • The participant (parents/teachers/ECA community member) should attend the mandatory meeting. It can not be delegated to someone who is not an ECA community member. • All country booths are required to sell food and no beverages (for exception please approach us) • Please have enough food for a minimum of 3 hours,. The selling will start at 12 pm only • Country booths may also sell non-food items that represent their country, alongside the food items • On the day of the event, for safety reason, we can not allow people from outside ECA community to be alone in the booth unless a parent/teacher are present at all times. • All country booths must remain in their designated area on the PTA set-up map • Everybody must pay the entrance fee
