  2. Session Outline • What is End of Session? • Assessment Periods • What is an ART? • UG ARTs (when to apply, what each ART does, BIRMS auto-calculation) • ARTs for non-standard programmes

  3. What is End of Session? • Processing of examination results (marks and progress decisions) • Normally at the end of a student’s programme year • May/June for majority of UG programmes

  4. Assessment Periods (1) • Period of the academic year in which modules are assessed, marks are recorded and a Board of Examiners recommendation is made

  5. Assessment Periods (2) • Three Assessment Periods in BIRMS: • Main • Supplementary • PGT Dissertation

  6. Assessment Periods (3) • Main Assessment Period • For standard UG, this is the main examination period in May/June. • The first assessment opportunity for a module • Second sit opportunity for modules with Re-sit, Repeat and First Sit status

  7. Assessment Periods (4) • Supplementary Assessment Period • For standard UG, this is the re-sit examination period in August/September. • The second (and normally final) assessment opportunity for a module • First sit opportunity for students with mitigation

  8. Assessment Periods (5) • PGT Dissertation Period • For Postgraduate Taught Dissertations only • Normally in October/November

  9. What is an ART? • ART stands for Academic Review Type • Progress decision • Exam Board recommendation/decision • Code representing the progression and award recommendation made by a Board of Examiners

  10. ART A – Proceed (1) USE FOR STUDENTS • Who have passed all their modules • Who are not in the final year of their programme • Who do not have any re-sits to take • Who will be continuing on the same programme of study

ART A – Proceed (2) WHAT DOES IT DO? • Creates a new General Student Record in the next academic year • Changes their status to Expected to Re-register • Updates their programme year e.g. from year 1 to year 2 • Releases their marks so they are viewable on the my.bham portal • Allows them to re-register online • Auto-calculates in BIRMS

  12. ART A – Proceed (3) BIRMS AUTO-CALCULATION • Must have marks and recommendations for all non-excluded modules • Must have module recommendations of P (Pass) for all non-excluded modules • Must be a next programme year for the student to progress to

  13. ART B - Successful Completion (1) USE FOR STUDENTS • Who are in their final year • Who have successfully completed the requirements of their programme • Who will be awarded the degree for which they are registered

ART B - Successful Completion (2) WHAT DOES IT DO • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Successful Completion) • Changes their Degree status to Completed so that they can graduate • Auto-calculates in BIRMS • Releases their marks so they are viewable on the my.bham portal

ART B - Successful Completion (3) BIRMS AUTO-CALCULATION • All non-excluded modules must have a mark and a recommendation • Checks whether the student is in a graduatable year • Checks the number of attempted credits • Checks the number of achieved credits • Checks the number of achieved credits at the correct level • Checks other credit and level rules (e.g. 55% stage 2 average for MSci)

ART B - Successful Completion (4) BIRMS AUTO-CALCULATION (continued) • Calculates Stage Weighted Mean Mark • Calculates Overall Weighted Mean Mark • Checks the stage weightings (25:75, 20:80) • Checks whether the student is Direct Entry • Checks whether the student comes under Adjusted Regulations • Checks whether the student is borderline • If yes, applies profiling

  17. ART C – Review (1) USE FOR STUDENTS • Who do not have enough credits to proceed • Who have achieved fewer than 100 credits • Who have failed more than 20 credits • Who will be re-sitting during the Supplementary Examination period in August/September

ART C – Review (2) WHAT DOES IT DO? • Registers the student for supplementary assessments • Does not move the student into the next academic year • Does not update their programme year • Does not change their student status • Does not allow them to register online • Releases their marks so they are viewable on the my.bham portal • Auto-calculates in BIRMS

  19. ART C – Review (3) BIRMS AUTO-CALCULATION • Must have marks and recommendations for all non-excluded modules • Must have module recommendations of P for less than 100 credits • Must have module recommendations of SE, SU, ME and M for more than 20 credits

ART D – Proceed with Outstanding Requirements (1) USE FOR STUDENTS • Who are not in the final year of their programme • Who have sufficient credits to proceed • Who have re-sits to take, either in the Supplementary Examination period or during the next academic year • Who will be continuing on the same programme of study

ART D – Proceed with Outstanding Requirements (2) WHAT DOES IT DO? • Creates a new General Student Record in the next academic year • Changes their status to Expected to Re-register • Updates their programme year e.g. from year 1 to year 2 • Registers them for re-sits or sits either in the Supplementary Examination period or during the next academic year • Releases their marks so they are viewable on the my.bham portal • Allows them to re-register online • Auto-calculates in BIRMS

ART D – Proceed with Outstanding Requirements (3) BIRMS AUTO-CALCULATION • Must have marks and recommendations for all non-excluded modules • Must have module recommendations of P for between 100 and 110 credits • Must have module recommendations of SE, SU, ME, M, RS or RP for between 10 and 20 credits • Must be a next programme year for the student to progress to • If modules are to be re-taken during the next academic year (module recommendations of RS and RP), these modules must be active in the next academic year

ART E – Proceed and Transfer Programme (1) USE FOR STUDENTS • Who are in year 2 of a BEng/MEng or BSc/MSci programme • Who have enough credits to proceed • Who have passed all their modules or who have re-sits to take, either in the Supplementary Examination period or during the next academic year

ART E – Proceed and Transfer Programme (2) WHAT DOES IT DO? • Creates a new General Student Record in the next academic year • Transfers them onto the new programme • Changes their status to Expected to Re-register • Updates their programme year from year 2 to year 3 • Registers them for re-sits either in the Supplementary Examination period or during the next academic year • Releases their marks so they are viewable on the my.bham portal • Allows them to re-register online • Auto-calculates in BIRMS

ART E – Proceed and Transfer Programme (3) BIRMS AUTO-CALCULATION • Must have marks and recommendations for all non-excluded modules • Must have module recommendations of P for between 100 and 120 credits • May have module recommendations of SE, SU, ME, M, RS or RP for between 10 and 20 credits • Must be default BEng and MEng or BSc and MSci programmes set up in order to auto-populate the Programme Transfer field • Stage 2 WMM of less than 55%: default transfer to BEng or BSc, Stage 2 WMM of 55% or above: default transfer to MEng or MSci • If modules are to be re-taken during the next academic year (module recommendations of RS and RP), these modules must be active in the next academic year

  26. ART F – Withdraw (1) USE FOR STUDENTS • Who have insufficient credits to proceed to the next year of study • Who have used up all their re-sit opportunities for their failed modules • Who do not have enough credits to be awarded an alternative (lower) qualification

ART F – Withdraw (2) WHAT DOES IT DO? • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Academic Failure) • Changes their Degree status to NO (Non-Successful) • Does not auto-calculate in BIRMS • Releases their marks so they are viewable on the my.bham portal

ART G – Award Alternative Qualification (1) USE FOR STUDENTS • Who don’t have enough credits to proceed to the next year of study (non-final year students) • Who have used up all their re-sit opportunities for their failed modules (non-final year students) • Who have not satisfied the requirements of their programme of study (e.g. insufficient credits) (final year students) • Who have enough credits to be awarded an alternative (lower) qualification (non-final year and final year students)

ART G – Award Alternative Qualification (2) WHAT DOES IT DO? • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Alternative Qualification) • Changes their Degree Congregation status to CO (Completed) • Eligible for graduation (if awarded a graduatable qualification) • Releases their marks so they are viewable on the my.bham portal • Does not auto-calculate in BIRMS

  30. ART J – External Re-sit (1) USE FOR STUDENTS • Who do not have enough credits to proceed • Who have achieved fewer than 100 credits • Who have failed more than 20 credits • Who will be registered for Sits/Re-sits in the next Academic Year

ART J – External Re-sit (2) WHAT DOES IT DO? • Moves the student into the next academic year • Changes their status to External Re-sit • Does not update their programme year • Registers the student for their failed modules in the next academic year with Re-sit (RS) or Sit (ST) status • Releases their marks so they are viewable on the my.bham portal • Does not allow students to re-register online • Does not auto-calculate in BIRMS

  32. ART K – Internal Repeat (1) USE FOR STUDENTS • Who do not have enough credits to proceed • Who have achieved fewer than 100 credits • Who have failed more than 20 credits • Who will be registered for Sits/Repeats in the next Academic Year

ART K – Internal Repeat (2) WHAT DOES IT DO? • Moves the student into the next academic year • Changes their status to Expected to Re-register • Does not update their programme year • Registers the student for their failed modules in the next academic year with Repeat (RP) or Sit (ST) status • Releases their marks so they are viewable on the my.bham portal • Allows students to re-register online • Does not auto-calculate in BIRMS

ART Q – Proceed with Low Credit (1) USE FOR STUDENTS • Who are not in the final year of their programme • Who have sufficient credits to proceed but who have not passed all their modules • Who have used up their re-sit opportunities for their failed modules • Who will be continuing on the same programme of study

  37. ART U – Successful Completion (Intercalated BMedSc) (1) USE FOR STUDENTS • Who are registered on an Intercalated BMedSc programme • Who have satified the requirements of their programme

ART U – Successful Completion (Intercalated BMedSc) (2) WHAT DOES IT DO • Changes their status to Leaver • Gives them a leaving date and reason for leaving (Successful Completion) • Changes their Degree status to CO (Completed) so that they can graduate • Auto-calculates in BIRMS • Releases their marks so they are viewable on the my.bham portal

ART U – Successful Completion (Intercalated BMedSc) (3) BIRMS AUTO-CALCULATION • Must have marks and recommendations for all non-excluded modules • Checks whether the student is in a graduatable year • Checks whether the student is on a programme where only stage 3 marks should be used or whether stage 2 scaled marks and stage 3 marks should be used • Checks the number of attempted credits • Checks the number of achieved credits • Checks the number of achieved credits at the correct level

  40. ART U – Successful Completion (Intercalated BMedSc) (4) BIRMS AUTO-CALCULATION (continued) • Calculates Stage Weighted Mean Mark • Calculates Overall Weighted Mean Mark • Checks the stage weightings (25:75, 100) • Checks whether the student is borderline • If yes, applies profiling

  42. ART V – Continue NSSD (1) USE FOR STUDENTS • Who have a non-standard start date • Who must be moved into the next academic year in order to re-register and retain access to University facilities, before an Exam Board decisions is made on the student’s progress

ART V – Continue NSSD (2) WHAT DOES IT DO? • Moves the students into the next academic year • Updates their status to Expected to Re-register • Does not update their programme year • Allows them to re-register online • Does not ‘lock’ the Assessment Period in BIRMS so a subsequent ART can be entered once an Exam Board recommendation has been approved.

  44. ART W – Release Marks (1) USE FOR STUDENTS • Who have marks for some but not all of their modules in the current academic year • Whose marks have been approved by an Exam Board • Who have not yet completed the requirements of their programme year, so no decision can be made on their progress

ART W – Release Marks (2) WHAT DOES IT DO? • Registers the student for supplementary assessments for any failed modules • Does not move the student into the next academic year • Does not update their programme year • Does not change their student status • Does not allow them to register online • Releases their marks so they are viewable on the my.bham portal • Will auto-calculate in BIRMS for specified programmes (Health Sciences, MBChB) (under development) • Does not ‘lock’ the Assessment Period in BIRMS so a subsequent ART can be entered once an Exam Board recommendation has been approved
