Topic 1 – When To Use A Second Time Frame • LPSB has established a new protocol for Elementary students with IEPs transferring to a different school. • For those students whose IEP is held during the school year, the IEP must address FAPE for an entire IEP year; this includes the need for a second time frame. • This second timeframe will reflect the minutes of the receiving school.
Topic 2 – Closing Out & Adding Goals • If a student achieves a goal, the IEP team must add another goal. • The IEP is in place for an entire IEP year; therefore, the student should have goals for the entire IEP year. • Goals should be projected for the IEP year, not a two or three week period
Topic 2 – Closing Out & Adding Goals Close out goals/objectives: • When the goal and/or objectives under a specific goal have been achieved. • At the end of each marking period, if applicable • On the existing IEP, before the annual review or re-evaluation IEP is made official • NOTE: If the goals/objectives have not been achieved, the teacher is to write “not achieved” on the hard copy of the IEP. • Anytime the IEP committee determines a goal/objectivedoes not clearly meet a student’s needs
Topic 3 - Progress Reports • Progress Reports must be completed EVERY nine weeks for EVERY instructional plan • Progress Reports must be sent home with the report cards • A copy must be placed in the IEP. • Second section / left side • If a goal is achieved during the IEP year, the Progress Report for that goal is still required at each marking period. • The teacher of IEP authority is responsible for ensuring that all progress reports are collected and filed within the brown folder
Topic 3 – Progress Reports • Progress Reports must be closed out prior to a new IEP being made official. • If the goal and/or objectives have been achieved, enter the date of achievement on the progress report. • If the goals and/or objectives have NOT been achieved, an explanation must be given as well as current data. • If appropriate, goals and/or objectives not achieved can be written on the new IEP • Remember to complete progress reports prior to transferring IEP folders to their receiving schools
Topic 4 - Transfer of Folders • LPSB has established a new protocol for transferring IEP folders from sending schools to receiving schools • Department Heads from the sending schools will transfer all IEP folders between May 25-28, 2012. • The Liaison assigned to your school will provide you with the transfer of folders form to be signed by the sending school’s department head and anadministrator from thereceiving school.
Topic 5 – Collaboration • When scheduling/writing IEPs for any student transferring to a different school, the teacher of IEP authority will contact the receiving teacher by email or phone to collaborate and establish the 2nd time frame. • The receiving teacher will be invited to attend the IEP meeting • Confirm that the receiving teacher will attend before putting that teacher’s name on the IEP • Refer to the End of Year Protocol for specific deadlines
Closure • Let’s review the key points of this module. • Remember to include a second time frame • Follow protocol for closing out and adding goals/objectives • Complete all progress reports at the end of each marking period AND when closing out the IEP • New protocol for transferring IEP folders • Collaboration is the key!
