  5. Final Registration Fees Assumptions: • 1.5 USD = 1 EUR • Advanced Fee: 90% of all attendees • 10% Attendee improvement over IEEE ICC-long term statistics • Registration fees incl. VAT are rounded to next multiple of 10 EUR (hence, no exact match with recommended registration fees) • No extra costs for Award Luncheon • No rate increase compared to GIMS’s recommendation Status ICC 2009

Interim Budget Assumptions • Attendance: 1,283 (10% above long-term IEEE ICC/GC average) • Expo: 25 @ 2.5 k€ (2m x 3m each) • Tutorials:120 Attendees + 30 Students • Workshops: 120 Attendees + 30 Students • Number of lunch attendees will be changed accordingly to the feedback from ICC08 (Currently: 1000 per day) • Patronage: 150 k€ • Food/Beverage: • Welcome reception: 800 x 60 USD • No Speakers’ breakfast as breakfast is provided by hotels • Coffee breaks/Lunch (incl. in Limited Reg): 3 x 1000 x $67.50 • Banquet: 520 x 140 USD [All prices excl. Significant Supporters • So far no signed contract • Confirmed: • Qualcomm(30kEUR), Actix (5kEUR), Signalion (5kEUR), Dresden (20kEUR) • Very likely sponsoring: • Vodafone (>= 15kEUR), Ericsson (>= 5kEUR), Broadcom (>= 5kEUR), NEC (>= 5kEUR), T-Mobile (>= 15kEUR); • Requirement to be Keynote speaker: 5kEUR (though 15kEUR is recommended) •  150kEUR seems to be a very likely patronage Additionally, several patronage requests are still not answered/decided yet. Hotels • Contract with conference venue signed • Hotel contracts not signed yet • Hotels (except for Westin) will be booked through VDE’s agency  no liabilities • 3 Premium class hotels, 5 first class hotels, 3 standard superior hotels ( too many hotels !?) • Preference for Westin will be reflected on website • Website will provided sufficient information how to reach conference venue • Very good public transportation from hotels to conference venue Status ICC 2009

Local arrangements • Current choice is Westin Bellevue • Banquet in Atrium of the hotel • combined with tents outside of the hotel • Located directly at the banks of the river Elbe • Walking distance to conference venue: ca. 5-10min • Overall cost for 520 attendees: ca. 95,000 USD (excl. VAT) • Currently last alternative is evaluated (Albertinum Dresden), which is prefered as long as costs are not higher Status ICC 2009

  14. Marketing • Finished Material • Lanyards, Postcards, A4-sized sponsoring brochure, Pens, CfE • City of Dresden provides information brochure and movie about Dresden • CfP in June and July issue of CommMag • eMail to all previous ICC07/GC07/ICC08 authors Status ICC 2009

Co-located “BMBF Statusseminar” • BMBF: German “Federal Ministry of Education and Research” • “BMBF Statusseminar”: Annual workshop to present recent results of BMBF funded projects • Request: • Co-locate “BMBF Statusseminar” with ICC 09 on Thursday • “BMBF Statusseminar” and ICC09 are separated events (no implicit registration) • Turn-over for ICC09: • ALL (!) participating partners will rent an exhibition booth (15-20 partners!) • Some of the BMBF partners will enter the sponsoring program • Strong exhibition area might attract more industrial attendance • Turn-over for BMBF: • International audience to present recent results, demonstrations, … • One room on Thursday (and may be Friday) in ICD Status ICC 2009
