Invoice / Rental Advice Notices(RAN) • Each regional office produces their own invoices, charge backs for services, EP recovery adjustments, Administrative fee’s etc. • Rental advice notices are issued at year end for all tenants. And whenever a change in rent occurs. • Each invoice is produced individually from JDE

  8. Invoice / RAN

  9. BI Publisher Experience • Initially used for replacement of check form software, we developed check templates using MS word 2010 • Very quirky (more a function of word) • Need to be very precise with positioning of MICR code, especially troublesome with overflow pages (multi-page check stubs) • Hint: Use tables to position everything on the form and use the word image “canvas” to lock down position of graphical elements • Documentation of BI publisher was scarce

  10. Invoice production experience What are your best practices? • Bulk invoice processing • System integration • Billing from other systems • Other software for invoice forms

  11. Tenant Statement Background: • Manual cutting / pasting from JDE • Invoices / cash receipts in different screens • Need to present a simplified view of account balance

  12. Getting tenant A/R information Biggest challenge: Users need to navigate multiple screens to see the complete picture • A/R tenant ledger inquiry • Work with tenant receipts inquiry • Work with tenant receipts summary • Work with tenant receipts detail

  13. Getting Tenant A/R Information

  14. CREIT’s Tenant Statement Objective: • Easy to understand view of all A/R activity • View the A/R position at any point in time • PDF / Excel output formats • Bilingual • Summary / Detail format • Show Security deposit / prepaid amounts

  15. Case Study CREIT’s tenant statement Requirement: • Credit card style statement of account • Allow to historical “As of” balance • PDF / Excel output formats • Bilingual • Summary / Detail format • Show Security deposit / prepaid amounts

Show error message If there is an integrity issue with the tenant account balance (difference found in JDE current as of balance to statement calculated balance)

  23. Statement Application Architecture • Application Components: • Client Application • Request application (.net Visual Basic App) • Batch Server components • Windows desktop running in a VM session • Executive dash (globalsoft excel data connector - SQL) • PDF 995 (pdf printer) • Windows scheduler / Batch processing files to launch the template • Excel Statement template – turn off all security restrictions so that Excel launches macros without “enable macros” dialog box • VBA Code in the Excel template to build the report, Save output and Send email notice back to the user
