  1. Features of various document files Most of the businesses make use of large volumes of data for their various business purposes. All these documents may come in various formats and you have the option to convert it to the required format. Many choose to convert the documents into required digital format, so that it can be easily stored, shared and accessed. Handling or managing huge amount of hard copies can be time consuming and tiring. Hence, there is need to digitize these documents into a required format, so that it can better cater to various business purposes. Sometime, to even just open a document you may have to convert it. Here, you can look into the various features of the different document files: •DOC and DOC X: Termed as a native format for the word document, very convenient and widely used, these formats normally contain texts as well as rich formatting such as tables, images and so on. These documents can be easily formatted and modified as required. Editing these can be done either by the creator or by those who receives these docs. •ODT files: Similar to DOC or DOC X formats, these normally have an open standard license and contain rich formatting with tables, graphs and images etc. These docs are also compatible with Microsoft word program. •RTF file: Known as a file extension for Rich Text Format documents, it allows for basic text formatting. However, these documents are not compatible with any image, graph, videos or other files. It can be distributed and shared. It can also be edited further, if required.

  2. •PDF format: Developed by adobe, these files can represent not just formatted text, but also images, graphs, tables or even 3D drawings. With fixed layout, they can be easily printed. They can be edited only if opened using software that allows for PDF file modifications. •HTM and HTML formats: Even if normally used as abbreviations for web addresses, it is also possible to save other documents into these formats. These are compatible with formatted texts, images, audio files etc. They are compatible with most web browsers and can be managed as if it’s actually a website. From here, you can thus infer how documents come in various formats, catering to the different requirements of the customers, thus making it more compatible for their varied business purposes. These documents, available in huge volume are difficult to manage in its hard copy formats. However, they can be easily managed, accessed, modified or stored if in digitized formats.
