    6. 6 Attendance Types Daily – used to indicate a student was absent or present for the entire day. Attendance is taken once a day usually through Homeroom. Period – used to record absences for each course a student attends. Specific Period – considered a mixture of Daily and Period. Attendance is recorded once a day during a specified period. Regardless of the attendance type a school chooses to use; a student must attend 51% of a day to be counted present. Policy information regarding student attendance may be found in the School Attendance and Student Accounting located on both the NCDPI and NC WISE Websites. School Attendance and Student Account Manual: http://www.ncpublicschools.org/fbs/accounting/manuals/ Daily Attendance Daily Attendance is used to indicate a student was absent or present for the entire day. Attendance need only be taken once in the day. elementary schools will use the Daily Attendance Type as well as most middle schools. The most effective way of recording attendance in Daily schools is through Homeroom Entry. While we will discuss the screen functions more fully in another section, it is important to remember that homerooms must be created and assigned to use this attendance type. While reviewing the record entry screens in Daily mode, it is clear eSIS was created to allow recording both AM and PM absences. NC does not use half-day absences. A company file setting for your LEA will has been checked to disallow the creation of ˝ day absences. If your LEA is concerned that ˝ day absences may exist, NCDPI has created a report in the Reporting Hub entitled Students with a null reason code either in the am or pm for a daily attendance school . This report is especially important at the end of the year when preparing for Year End Transition (YET), where NCDPI prepares your database for the coming new school year. No schools should have ˝ day absences and the corrections must occur prior to YET. Not doing so will cause data to be lost. Period Attendance Period Attendance is used to record absences for each course a student attends. Many middle and high schools use this attendance type. Students who miss 51% of their course schedule in a day will be automatically counted absent for the entire day based on a company file setting controlled at the state level. Specific Period Attendance Specific Period Attendance can be considered a mixture of both Daily and Period. A school may choose to record attendance once in a day for students but may for example, want to record attendance in 3rd period. If the option is selected for the school, a Period text box will appear next to the Attendance Type drop-down list. This allows the school to enter the desired period attendance should be recorded. Schools that use this attendance type will see student attendance records displayed in the Period Attendance Mode. This feature is not commonly used in NC. Positive Attendance is not used in NC – we only record absences/lates, not “present”. North Carolina views attendance in minutes rather than periods.     10. 10 Viewing Tumble Patterns Instructor Note: Some of this may be review from the School Information course. The Current Year screen deals mainly with student set up for the school year. The top section of this screen comes from the Next Year screen after YET. It is read only. For this section we are concerned with the Number of Tumble Patterns listed and the Tumble Patterns section. The top section should match the number of tumble patterns displayed in the grid. If not, contact the Service Desk. Tumble patterns allow a Period Attendance school to change the order classes are held on a given day. Tumble patterns ensure teachers only take attendance on classes that are held on a given day. An example of when a tumble pattern that differs from the one generally followed is when a school is delayed 2 hrs due to snow and students miss the first two periods. If the correct tumble patterned is applied to the day in question, when attendance is recorded for students, the absences are recorded in the correct courses. Another example may be when a school has a regular assembly. The assembly is always held on the 2nd Friday of the month at the end of the day. A tumble pattern may be created and applied that does not include the last period of the day. When a student is considered absent for the full day due to missing too many periods, and tumble patterns are used, the system looks at the student course schedule for the given day and not all the courses a student may have. This ensures a more accurate view of the student’s attendance. Tumble pattern rules D1 must always be consecutive and encompass every period a school may have. (1, 2, 3, 4,…) The Period and Length columns on the far side of the grid must always match D1. Tumbles may be created but do not have to be used if they are not needed.     18. 18 Launching Attendance Attendance is a separate module from eSIS The only way to access the Attendance Module is through the eSIS START screen. The access icon displays the image of a pencil and paper. The user is notified with a dialog box that he/she is exiting the Student Information System and asks if they want to continue. User must answer yes in order to access the Attendance Module. The Tumble Calendar must be built at the Start of School Attendance may not be recorded at a school until the Tumble Calendar is built and students have been registered. After Yet and Prior to SOS (start of school), the first user that enters the Attendance Module must create the Tumble Calendar for the year. The Tumble Calendar is built from the School Schedule and the Non School Days screens. Lets come back to building the Tumble Calendar after we’ve reviewed the screens. Note: It is sometimes necessary to exit completely out. There is a known bug when clicking OK. Most times when receiving this error message, selecting Action > Exit will allow you to get past this and go into the attendance tumbles. Attendance may not be recorded at a school until the Tumble Calendar is built and students have been registered. After Yet and Prior to SOS (start of school), the first user that enters the Attendance Module must create the Tumble Calendar for the year.     21. 21 Attendance Start Screen The Attendance Module is separate from the core eSIS product, but completely integrated. It’s also much smaller, with less screens and functions. Just like eSIS, as you navigate the screens, when you exit the Blue Door, you will always return to ATT START. If you are on the ATT START screen and exit the Blue Door you will exit the entire system. You must click the World icon to go back to eSIS. Notice the Attendance module tracks the user, and the current school. Once a date is selected, the start screen displays the date and the cycle. (Note: the cycle indicates the Tumble, but the terminology is not consistent) Lets take a look at the icons and menus available. Users will always work in the first menu in Attendance, regardless of Period or Daily settings. The menu options are almost exactly the same. The Period/Daily Attendance menu lists all screens available in the attendance module. There will be some that are used frequently and some that should not be used at all. There are times when eSIS appears to ‘gray out’ and the user is not able to complete the process. When this occurs, it may be helpful to click the Window menu and see how many screens are open. eSIS generally allows only one screen open at a time, but one example is when a user chooses the Select Student screen, it sometimes gets lost behind the screen it was originally launched it from.     38. Editing Student Absences - Steps Click Student Absences. Query for a student. Click EDIT next to the appropriate date. Click the applicable drop-down to update the record. Click Delete to remove the record. Click SAVE. 38

    40. Attendance Entry Screens Mass Entry Mass Sign In/Out Sign In/Out Full Day/Multi Day Homeroom Entry 40 This slide is ordered by effectiveness/most often used. Mass Entry is used to enter the same reason code for more than one student at a time. Mass Sign In/Out is used to enter the same reason code and either IN or OUT and a time for more than one student. Sign In/Out is used to enter Sign In/Out information for one student at a time. Full Day/Multi Day is used to enter multiple day absences for one student at a time. The default reason selected will populate for each student added until the default reason code is changed. The data manager must still enter the A or L that coincides with the default reason for each student added. In the Query/Update mode the absences marked for a given day will be displayed. The data manager can update students as needed individually from the same screen.In Insert/Delete mode on this screen the data manager can assign the same absence/late reason code to multiple students for the same day by selecting a default reason code at the top and then clicking ADD to add students. If a change is made to the school schedule or the non school days, the attendance tumbles DO NOT need to be rebuilt. These changes will automatically filter from eSIS into the attendance module. Examples of changing the calender: A change in day rotation of courses. Changes made to the Non School Days screen should filter to the Tumble Calendar. Notice the user may sort based on the gray raised column headers.
