Advanced Publisher Course Concepts • We will cover the following concepts: • Adding Data Fields to a LinkOne book • Creating a screen layout • Customizing the Selection List • Creating a Search Set • The objective of this course is each student will be able enhance LinkOne parts books and maintenance manuals with advanced options at the end of this course.

  4. Adding a Data Field to a LinkOne Book Scenario: There are 4 types of fields involved in LinkOne Books, these are Book Fields, List Fields, Picture Fields and Entry Fields. Book Fields are the fields that are relevant to the entire book. The default Fields are Publisher Code, Publisher Description, Book Code and Title (Book Description). Information for these fields are entered using Book Information Editor. List Fields are the fields that apply to a list or page in a book. Each page has unique values for these fields. The default List Fields are Title (List Title), Page Reference and Page Number. Any information that is to be unique to a page is entered as a List Field. This information is entered into the ldf file for each page. Picture Fields contain unique information regarding a picture that is associated with a list. The default Picture Fields are Picture Number and Title. Values for Picture details are entered into the ldf file and are associated with the picture number for which they apply. Entry Fields are those fields that exist for the items in a parts list. The default Entry Fields are Item Id, Part Number, Description, Alternative, Weight, Quantity, Units, Link Publisher, Link Book, Link Reference, Link Item. Values entered into these fields are unique for each entry in a list. Additional fields need to be defined for the book. This is done in the Book.inf file.

  5. Adding a Data Field to a LinkOne Book Task: Your task is to identify from the field descriptions below, the types of fields that they are, and then add them to the book. Revision Date: When updating books for your equipment you wish to monitor the dates of when pages in the book are updated. Therefore you have a revision date for each page within the book to see when it was last updated. List Price: You are want to have the list price of each item displayed as part of the parts list. Stock Code: Each part is associated with a stock code (S=Stocked, V=Vendor, D=Order on Demand) we want to associate each item in the parts list with a stock code.

  6. Adding a Data Field to a LinkOne Book Practical Exercise 1 – Adding Data Fields Open Book Information Editor via the Start>Programs>Mincom LinkOne menu. Open file “C:\advtrn\Source Books\RealCast\S1000P\book.inf”. This book will be used throughout this training.

  7. Adding a Data Field to a LinkOne Book Practical Exercise 1 – Adding Data Fields Click on the <Data Fields> Tab and select the (List Fields) Option and click the [Add /Edit] button. Type Revision_Date and click [OK].

Adding a Data Field to a LinkOne Book Practical Exercise 1 – Adding Data Fields Click [Edit > List Detials], then click on the <List Fields> Tab, in the first row for “Field Name” select “Revision_Date” field we specified in the Book Information Editor and enter date 10/06/2008 in the “Field Value” the click [OK].

  11. Adding a Data Field to a LinkOne Book Practical Exercise 1 – Adding Data Fields Click on the <Parts List> tab and scroll to right and the “List_Price” and “Stock_Code” fields are now shown. For the first item type a List Price of 3.44 and a Stock Code of S. Save the LDF file.

  12. Adding a Data Field to a LinkOne Book Practical Exercise 1 – Adding Data Fields Open Book Builder via the Start>Programs>Mincom LinkOne menu. Open file “C:\advtrn\Source Books\RealCast\S1000P\book.inf” Set the options as shown and perform a [Total] build on the book.

  13. Adding a Data Field to a LinkOne Book Practical Exercise 1 – Adding Data Fields Start WinView and open the S1000D Spinning Reel Parts book and navigate to the Spool Parts page. Note that none of the fields we defined are visible.

Displaying Additional Fields in a LinkOne Book Concepts: Once you have entered information into the user defined fields, this information is commonly required to be displayed to the user as part of the parts listings in LinkOne WinView. The default layout for LinkOne parts catalogues does not display user defined fields. In order to display the information in these fields, a layout must be designed and written that will instruct LinkOne WinView of the format, its appearance and what information is to be displayed. LinkOne gives you extensive control over how your books are displayed, both on screen and when printed. Books can either be made to look identical to the original paper documents, or use can be made of the many LinkOne features so that a completely new layout can be created to display the appropriate data. This is achieved by the use of Layouts. A layout is a definition of how a book is to appear. It controls what each part of the book looks like – the headers, footers, arrangement of data fields in the parts lists etc. You can create your own layouts and build them into your books. You create a layout by writing a Layout Definition File using a text editor. The Layout Definition File describes the appearance of all the elements you wish to customize – parts list entries, headers, footers.

  15. Displaying Additional Fields in a LinkOne Book Concepts - Continued: Only one layout can be applied to a book at any one time. But this layout can contain a number of formats. It is these formats that individually define the various areas, i.e: parts lists, headers, footers. When a layout contains a number of formats, they are assigned to the appropriate areas using format names. A format with no name is set by default to every page in the book as the default parts list layout. There are other format names that LinkOne will automatically associate with various areas of the Book. These formats are listed and defined below. LIST_HEADER Displays the header above the parts listing LIST_FOOTER Displays the footer below the parts listing PIC_HEADER Displays the header above the associated picture (appears only when printed) PIC_FOOTER Displays the footer below the associated picture (appears only when printed) COMMENT Will be associated to any entry in a list that only contains data in the description field.

Displaying Additional Fields in a LinkOne Book Scenario: As an equipment manufacturer, your parts information needs to be displayed in a format that displays all the required information to your customers in a way that meets your company standards. Task: Your company has decided that the Stock Code field should be displayed after the “Qty” in the Parts List and that Revision Date should replace Reference Number in the List Footer (See Diagram Below)

  17. Displaying Additional Fields in a LinkOne Book Practical Exercise 2 – Creating and Adding a Screen Format An example screen format that mimics the default LinkOne layout has been provided as a starting point for our format. Open “C:\advtrn\Source Books\RealCast\screen.fmt” in notepad.

  18. Displaying Additional Fields in a LinkOne Book Practical Exercise 2 – Creating and Adding a Screen Format To fulfill our first requirement we will add the stock code field to the <HEADINGS> and <ROW> tags in the layout file. Add <CELL> Stock Code and <CELL> <FIELD> Stock_Code as shown.

  19. Displaying Additional Fields in a LinkOne Book Practical Exercise 2 – Creating and Adding a Screen Format Our second requirement asks us to replace the Reference Number with Revision Date. Scroll down to the LIST_FOOTER format and replace the Reference Number text with the text shown.

Modifying the Selection List Concepts: Once all the information is in a LinkOne Book, the user needs to able to do something with the parts lists in regards to selecting the items that they require with the required information for processing through a management system. The type of information that is extracted from the parts lists is configurable by defining the selection list columns and then mapping the fields in a parts list to the columns in the selection list.

Modifying the Selection List Adding a field Scenario:The main function of electronic parts catalogues is to select the items from a parts list and import them into a management application for ordering. In order to be able to do this effectively, the information that is taken from the parts list into the selection list needs to be correct in order for it to be imported into the management system for correct. LinkOne gives you the ability to customize the columns and fields in the selection list to be the same as those in your management system. Task: You are required to create a new selection list that includes a column for Price. Upon Installation of the Mincom LinkOne software, an example selection list file was placed in the My Document LinkOne directory. Customize this file so that the columns you require are displayed.

Click Tools > Confinguration, in the configuration tree click on “Selection Lists” and change the “Default Selection List” to RealCast Selection List Definition”.

  33. Creating a LinkOne Search Set Concepts: When an end user is viewing the manuals in LinkOne they are often required to search on parts lists or documents. Searching for parts within LinkOne parts catalogues becomes an important function of the day to day functions of a maintenance team. Searching for parts allows users to maximize the use of components across pieces of equipment in order to ensure that vital pieces of equipment maintain the highest production rate with minimal down time.

  34. Creating a LinkOne Search Set • Concepts - Continued: • LinkOne WinView provides some default searches that search the default fields provided during publishing. The default searches are listed below. • Page Titles • Part Descriptions • Part Numbers • Documents • Page References • Page Numbers • Part Numbers/Part Descriptions • Searches can be performed on either List Fields or Entry Fields. If a user is required to search outside of the default searches, then a search definition must be written.

  35. Creating a LinkOne Search Set Concepts - Continued: Typically search definitions are written so that users can search user defined fields added during publishing. A search definition file contains what is known as a search set. A search set can contain a number of separate searches. Each search needs to be defined as below. SEARCH,NSN_SEARCH,NSN,,,Matching NSN MENU,&NSN’s… KEY, Desired NSN SEARCH_FIELD,Part Number SEARCH_FIELD,NSN_Field

Creating a LinkOne Search Set Practical Exercise 4 – Creating a Search Set Scenario: The LinkOne Book that has been created has an entry field of stock code that is used to display the stock codes for items within the list. A user requires the ability to search by stock code and have the entry details associated with that stock code displayed. Task: You are required to create a search definition file that displays in the menu a Stock Code search. This search will require the user to enter a Stock Code and it will search the entry field of each item for the matching results.

  39. Creating a LinkOne Search Set Practical Exercise 4 – Creating a Search Set Adding the Search Set to the Book Open Book Information Editor via the Start>Programs>Mincom LinkOne menu. Open file “C:\advtrn\Source Books\RealCast\S1000P\book.inf”. And click on the <Searches> tab.

  40. Creating a LinkOne Search Set Practical Exercise 4 – Creating a Search Set Adding the Search Set to the Book Click the [Add / Edit] button and enter the following text in the “Search Set Definition” dialog box and click the [OK] button.

  42. Creating a LinkOne Search Set Practical Exercise 4 – Creating a Search Set Building the book with the new search set Open Book Builder via the Start>Programs>Mincom LinkOne menu. Open file “C:\advtrn\Source Books\RealCast\S1000P\book.inf”. Perform and [Incremental] build on the book.

  43. Creating a LinkOne Search Set Practical Exercise 4 – Creating a Search Set Using the new Search Start WinView and open the S1000D Spinning Reel Parts book and navigate to the Spool Parts page. Stock Code is now an available search, click “Stock Code” to open the search dialog.

  44. Creating a LinkOne Search Set Practical Exercise 4 – Creating a Search Set Using the new Search Type “S” in the “Desired Stock Code” drop down and click [Search]. The results will now display each matching entry with a stock code of “V”
