  2. LME/MCO SUPERUSER • Transfer clients- if moving to a new/different agency • Confirm/deny new user requests, and new agency requests • Forwards info from NC-TOPPS Raleigh to include compliance rating

AGENCY SUPERUSER Requirements • Pull updates • Confirm/deny new user requests • Queries • Assist and train users at your location using the NC-TOPPS quick start guide (found on NC-TOPPS website), as well as your own hands on training with each new NC-TOPPS user • Receives info from the LME/MCO Superuser to include updates needed, information from NC-TOPPS in Raleigh • Removes old users whom are no longer with the agency (note :see NC-TOPPS guidelines- page 11-to assist you with all of your responsibilities)

Things to watch out for…. • Duplicate users - Users that have lost their password or it has expired should NOT request another username (contact NC-TOPPS) • Updates Needed dates – You may want to do a search of the interview to ensure that an update is needed even after you have run an updates list • Sharing of passwords – no one should ever share their password or login info

  15. Things to watch out for cont’d… • When requesting a QP change to the LME/MCO, the new QP username, agency address and consumer number must be included.

  18. Option 1: Build Custom Report: Build a customized report containing selected measures (select one, many, or all) for an LME or Provider Agency. Option 2: Build Custom Aggregate Report: Build a customized report containing selected measures for an aggregation of Provider Agencies. Option 3: Compare Locations: Choose one measure for comparison among 1 to 5 LMEs and/or Provider Agencies.

  21. Compliance • NC-TOPPS reports on timelines of interviews ever quarter to ensure accuracy and timeliness. • The LME/MCO Superuser will then report to the agencies the timeliness rating. • The LME/MCOSuperuser will notify agencies that are below the Performance Contract Standard (90%)

Compliance Improvement …. • Things to note/remember- • View and use NCTOPPS Guidelines (Version 8.0) and Quick Start Guide (recent version dated July 2012). • A in person interview/update can be done 2 weeks before and 2 weeks after the due date. If thirty days past due date the next interview will now be due. Updates are required to be completed before the thirty days is up. Past the two weeks will result in the compliance/timely rating to be low. • Make sure to click “submit” on all interviews. You will need to follow through to the screen where the letters are green and says “Interview Successfully Submitted”. • Notify the LME/MCO of email or address changes. • Contacting the LME/MCO or NC-TOPPS help desk may take time. Don’t wait until the due date or after to contact us for questions/concerns.

  23. Things to take back with you…. • Most requests are password/login problems. Those can only be handled by the NC-TOPPS help desk personnel. • Transfers must be emailed to the LME/MCO SUPERUSER (unless the transfer is within the same agency), the email must include the consumers number and appropriate agency information. Never include an consumer identifying information in the subject line. • All users must have a copy of the NCTOPPS guidelines to help them to complete their NC-TOPPS. • All Superusers must study and use the Superusers Tools Guide found on the NC- TOPPS website. (This is a must to train your employees)

  24. More to come….. • NC-TOPPS is working on a new reports module much like what we had before. Hopefully will go live by the end of the year. • Training by the NC-TOPPS managers in Raleigh (for providers).

  25. Helpful info • NC-TOPPS helpdesk nctopps@ncsu.edu • Email your LME/MCO Superuser to enroll a new Superuser. All Superusers have to approved users before requesting to be a Superuser.
