ERP • Enterprise resource planning (ERP) is business management software—usually a suite of integrated applications—that a company can use to store and manage data from every stage of business, including: • Product planning, cost and development • Manufacturing • Marketing and sales • Inventory management • Shipping and payment • Finance Management • HR management

  3. Project Objective • The objective of ERP system is to improve the information flow to facilitate better decision making leading to overall improvement in the performance of the organization by way of improvements in information transparency productivity, cycle time & financial performance. This project is aimed to provide effective and efficient business processes which will aid in better decision making and thereby improved operational efficiencies. • HCL is the System Integrator (SI), who along with E&Y as the Business Process Re-engineering (BPR) partner & SAP as the Software Solution Provider (SSP) is implementing this project. The project is being executed in two parts. Firstly, as a proof of concept (POC) the ERP Application is to be implemented in seven units of BSNL, namely, Corporate Office, Karnataka Circle, Maharashtra Circle, Southern Telecom Region (STR), Western Telecom Project (WTP), Telecom Factory Mumbai and ALTTC Ghaziabad. Secondly it would be rolled out in the rest of 42 units of BSNL during the second phase of the project.

  4. Project Execution overview • AS-IS - The existing processes of BSNL were captured and documented. • BPR - Business Process Re-engineering. The consultant evaluates the existing practices and compares with the best industry practices. Finally the consultant submits it recommendations. These recommendations are discussed in details with the BSNL Sr. Management for acceptance. • BBP - Business Blue Print. A final document is prepared covering the re-engineered process which is accepted and approved by BSNL for solution design in ERP. • Solution development - As per the final BBP, the solution in the SAP is developed. This is very different from the computerization of the existing processes. While implementing SAP, the biggest advantage is the seamless integration of the business processes. The views of the SAP experts are that one should make maximum efforts to adopt the SAP practices without any or minimum modification. This way the best benefit of SAP is obtained. • Testing - The solution developed is tested. First the individual modules are tested. After that the integrated modules are tested. • Collection of data - BSNL Data is the most important element. The better is the data the better results are obtained. • Training - Trainings are given to the end users on how to work on the solution developed. • Go-live - A typical terminology used in ERP project indicating the start of usage of the system by the end-users.

  5. Data collection for ERP • IT tool MANTIS is being used for this purpose. The URL is www.erpportal.bsnl.co.in OR http://10.197.216.213/. This is presently available on MPLS network i.e. wherever CDR network is available. Soon it will be made available on internet. • ERP help desk team will create user IDs for circle / SSA data SPOCs. The list of all such users to be mailed on erphelpdesk@bsnl.co.in • Brief about Mantis: • Mantis is an IT tool, a software, which is mainly used for activity escalation and forwarding. A document can also be attached with the issue. • The activity escalation property of the software is being utilized for uploading data templates and follows the route: SSA -> Circle -> HCL -> Core team -> HCL -> Final upload. • Hence the starting is done by creating an activity by the core team, module wise. The core team will create the activity and intimate which blank template is to be downloaded.

The currently developed solution of ERP comprise of eight modules which are • Finance And Management Accounting :FICO • Materials & Inventory Management including E-Procurement :MM/ SRM • Human Resources Management & Administration, Payroll :HCM/ESS/ MSS • Plant & Equipment Maintenance :PM • Sales and Distribution :S D • Project Management :PS • Real Estate and Telecom Infrastructure Management :REM • Production Management, Supply Chain Management :PP / SCM / QM • & Quality Management (Mainly for telecom factory- working)

  7. SAP (System application Products in Data processing ) • SAP  is a German multinationalsoftware corporation that makes enterprise software to manage business operations and customer relations. Headquartered in Walldorf, Baden-Württemberg, Germany, with regional offices around the world, SAP is the leader in the market of enterprise applications in terms of software and software-related service. • ABAP (Advanced Business Application Programming, originally Allgemeiner Berichts-Aufbereitungs-Prozessor, German for "general report creation processor"[3]) is a high-level programming language created by the German software company SAP • BSNL is using SAP for ERP implementation

  8. SAP PS • SAP Project System supports comprehensive business Process for Planning, Controlling & Organizing all the activities carried out during the course of a Project. .It helps you to manage your Project structure, dates, cost & Resources throughout the entire Project lifecycle.

SAP Project System (SAP PS) • Project System provides tools to track project milestone, costs and resources. • Project System module contains tight integration to the MM, FICO. • It utilizes personnel records from HR, rolls costs into Controlling and links to materials or customers in the Logistics modules.

  11. PS Module: Project System Module Two key objects that define the Project in SAP are: • Work Breakdown Structure (WBS) - defines tasks and assign resources to those tasks • Network - defines the dependencies within the Work Breakdown Structure (WBS)

Data migration Process • Data migration team has to work for finalization of number of running project (CWIP) each business line wise that have to be migrated to ERP-SAP system at the time of Go-Live keeping in view the strategy decided in this regard. • Care is required to be taken by the Data migration team that the officers/officials engaged in data migration process are well aware of the data templates & in no case wrong data should be filled in the data templates.

Tallying the no. of CWIP data • No. of finalized running projects (CWIP) should be tallied with the Accounts wing of the unit. • Discrepancies in the no. of CWIP data with Accounts wing, if any, may be reconciled positively. • The new projects where no expenditure is booked till date is not to be filled up in the transactional data templates.
