  2. Phil Taylor, RN Clinical Consultant • Mr. Taylor is a clinical consultant contractor with Medsphere Systems Corporation. He has been contracted through IHS to provide EHR consultation and education. Mr. Taylor will not be promoting Medsphere Corporation through this education.

  3. Learning Objectives At the end of this session, participants should be able to: • Customize electronic health record configuration to meet PHN needs through the utilization of: • New person file • Provider file • User class • Person class • Ordering keys • Electronic signatures and • Clinical application keys

  4. Content • Provide information on EHR security process and demonstrate correct definition of unique public health nursing configuration into structured data fields • Define the unique role of public health nurses and relate this distinction to electronic configuration of order entry and professional licensure information. • Empower individual users to further customize their electronic health record

  5. Unique Requirements of PHN Users • What are attributes of new PHN users? • Some security (keys) that PHNs may need. • Special circumstances that apply to unique PHNs.

  6. Add a New PHN User Step 1: Use current process for adding a new user into RPMS. • Key Role: Usually done by IT.

  7. Add a New User (cont) Step 2: Add the user to the provider file (File #200). • Core Menu > Add/Edit Providers • Chose correct Service/Section. • Set “Authorized to Write meds” field to “yes”. Per Policy statements or Standing Orders.

  8. Add a New User (cont) Step 3: Add the user to an appropriate TIU User Class. • TIU Maintenance > User Class Management • Set start date back a few days. • Do not enter a termination date.

  9. Add a New User (cont) Step 4: Assign the user the ORELSE ordering key. • BEH > ORD > Allocate OE/RR Security Keys • DO NOT give users multiple keys.

  10. Add a New User (cont) Step 5: The user needs to create an electronic signature. • TBOX > Electronic Signature Code Edit • May need to reset for user. • Use: Clear Electronic Signature, done by IT

  11. Add a New User (cont) Step 6: Assign the user the GMRA-USER key. • Use: Allocation of Security Keys menu

  12. Additional Keys for Certain Users Use: “Allocation of Security Keys” • Users that manage the Immunization Package will need the BIZ MANAGER key. • Users that will verify allergy entries will need the GMRA-VERIFIER key.

  13. Special Circumstances • Users that perform dual functions (a user that performs PHN duties and RN duties) need entered as two separate users: • Example: a PHN user & an RN user • Turn off “Requires E&M Code” for users that do not need to document it. • EHR > XX > EP
