  2. Outcome of this Session • To have a better understanding of how the framework will operate • To understand how the Council will manage the contract • To be confident using the NEPO portal for mini-competitions

  3. Contract Period Framework Contract start date 1st April 2013 Period 2 Years with option to extend for up to 24 Months Lot 1 – Fixed Term routes, all 56 companies on the framework will be invited to bid for new requests and routes will be awarded based on lowest cost. Lot 2 – Short Term routes, all five companies will be invited to bid for new requests and routes will be awarded based on lowest cost. Lot 2 – Emergency requests, due to start in 2 days or less, the company ranked first will be invited to carry out this request.

  4. Contract Requirements • Contracts will not be awarded to any company if:- • the drivers and passenger assistants do not have Gateshead enhanced DBS clearance. • do not hold a valid Gateshead ID badge • have not provided the necessary vehicle and operator documentation for each vehicle and operator used on the contract

  5. Mini-competitions • New request - E-mail notification will be sent from the NEPO portal. • Log in to the NEPO portal, view the route(s), and submit prices. • A notification by e-mail will be sent to the successful bidder ONLY. • If you do not bid you will not be considered for the work. • Any contracts that you currently provide will continue until their end date. • All contract renewals will be issued as a mini-competition. You will not automatically continue to provide the service, you must bid again YOU MUST KEEP CHECKING YOUR E-MAILS

  6. Be Prepared Review the route information Note the submission date and time Complete the pricing information Submit your response before the deadline via the NEPO portal Pricing can not be submitted by e-mail or telephone. Submitting your price Uploading files can take longer than you expect. Don’t wait until the last minute to start uploading your submission. LATE BIDS WILL NOT BE ACCEPTED

  7. Lot 2 Ranking and Contract Management • Congratulations! • Top 5 companies to provide Short Term and Emergency requests. • You must be reliable • Failure to provide the service will be logged • If this occurs on 5 or more occasions you will not receive any NEW requests for a period of 3 months. • We will re-rank on an annual basis based on the last 10 previous mini-competition prices.
