  4. Employment Processing • Non Regular Temporary Staff • Temporary exempt and non-exempt staff are: • paid hourly • required to complete a timesheet • accrue overtime pay for hours worked over 40 during a workweek (Sunday – Saturday) EMPLOYMENT PROCESSING

  5. Employment Processing • Hiring FTE • FTE must accurately reflect the number average hours per week. • We are seeing a significant number of .475 • Creates issues with reporting and ERB EMPLOYMENT PROCESSING

  8. Electronic Personnel Action Form (EPAF) Student Hiring EPAF Presented by: Jennifer Enriquez, Data Management Supervisor HR Information Systems Kathy Agnew , Assistant Director Employment and Compensation Services EPAF

  9. EPAF The Electronic Personnel Action Form (EPAF) is a Banner module that was designed to accommodate a more efficient approval signature process for HR actions. It improves and simplifies the process for completing and approving a wide range of personnel actions for all employee types. Personnel Actions will be originated electronically, via Employee Self-Service, by the department and electronically routed for approval. After approval the actions are applied to Banner by a central process. EPAF

EPAF STUDENT HIRING EPAF will be available July 29, 2013 • Benefits of Student Hiring EPAF • One position number for student hiring • Student type is determined by the Employee Class, Grade, and Funding • Student has one timesheet per department • Delivered Banner functionality • Provides tracking of pending actions and history of completed actions • Reduces start to finish processing time • One hiring system for all student types • Same approvals (DEAN/VP) required as Temp Faculty and Graduate EPAFs • HRS review of the Student EPAF will be after the action has been loaded to Banner EPAF

EPAF • Dates to Remember • July 29th – Student Hiring EPAF is LIVE • July 26th – SES Ventana is deactivated • July 26th – E-Hire no longer allows Student Hiring actions • Hires for student employment with summer employment dates up to and including August 15th • August 15th – All current student employees jobs will be terminated • August 16th – All student employees must be rehired with an effective date on or after August 16th using new position number • Training on Student EPAF has already begun. Sign up for a training session at http://training.nmsu.edu/. EPAF

Although if you are not rehiring a student, we encourage recruiting. • All student employment recruiting (including work-study and graduate assistants) is processed through AggieCareer Manager. • The AggieCareer Manager website is https://www.myinterfase.com/nmsu/employer/home.aspx EPAF

Healthcare Reform Updates • Compliance • Continue with implementation plan and policy compliance: • Policy 4.30.10 • Student Handbook (Student and Co-Op) • Graduate Assistant Guide • Policy 5.15.40: this policy is unrelated to Healthcare Reform and requires separate compliance. • Waiver Requests – provisions for policy FTE waivers have been included. • Waivers should only be requested for unique/rare, unavoidable, justified circumstances.
