Release 5.0 Functionality Support for the ASI Process – BMS Users Background • Prior to Release 5.0, when a patient wished to book an appointment within a service that had no available appointment slots published, or where there was a technical issue preventing the booking, the only pathway was via The Appointments Line (TAL). • It was therefore necessary for the patient to call TAL in order that the TAL operator could:- • note the patient’s details • transfer these to an email • send to the provider each evening. • This process was outside of Choose and Book and could not be monitored by patients and their referring practices.

Release 5.0 Functionality Support for the ASI Process – BMS Users Release 5.0 functionality • When a patient attempts to book an appointment, either • within the GP Practice • by telephone via The Appointments Line (TAL) • online via the Patient Web Application (PWA) • AND, no appointment slot is available within their chosen service or services, or a technical issue prevents booking, the request can be deferred to the provider.  • The UBRN will then immediately appear on the new provider "Appointment Slot Issues" worklist in order that they can appoint the patient within Choose and Book.

  5. Release 5.0 Functionality Support for the ASI Process – BMS Users From the Appointment Search screen:- Where no appointment slots are showing for the chosen service or services. Click on the “Defer to Provider” button.

  6. Release 5.0 Functionality Support for the ASI Process – BMS Users Choose and Book will validate slot availability at this point. Where no genuine slot issue exists, ie, where slots are available but they are not convenient for the patient, the UBRN cannot be deferred.

  7. Release 5.0 Functionality Support for the ASI Process – BMS Users Choose and Book will validate slot availability at this point. Where there is a genuine slot issue (ie, no slots for one or more of the selected services) then the UBRN will be allowed to enter the ASI process and the Alert will direct you to confirm that you wish to proceed.

  8. Release 5.0 Functionality Support for the ASI Process – BMS Users Deferral Options screen:- A referral request can only be deferred to oneservice. So, where more than one service was initially selected, and where more than one of those services has no slot availability, the patient will need to make a final choice at this point.

Clicking “Submit” will forward this UBRN directly to the Provider worklist. Patient is on holiday between 14th and 21st but can be contacted on her mobile number 0779617714

Release 5.0 Functionality Support for the ASI Process – BMS Users Deferral Options summary screen:- The selected provider has been notified of the patient’s need to book an appointment with them. If the patient has not been informed by 10 August 2010 of their future appointment date, they should be advised to contact their referring practice. The patient has not defined a Consent to Call Back status. If the patient wants to define a status, update it in Update Person. The message displayed in red at the top of the screen gives the call handler information to discuss with the patient. The date is calculated in working days from the date of deferral, plus:- Routine – 10 days Urgent – 5 days 2WW – 2 days

Release 5.0 Functionality Support for the ASI Process – BMS Users Points to note:- • Once a UBRN has been deferred it is deemed to be part of the ASI process, and: • Can be accessed via a search in the Patient tab • Will appear on the Referrer’s Awaiting Booking/ Acceptance worklist • Will immediately appear on the chosen service provider’s new Appointment Slot Issues worklist. • Whilst a UBRN is part of the ASI process: • A new status of ‘Deferred to Provider’ will be applied • As with all UBRNs, the referral letter will not be visible to a Service Provider until an appointment has been booked • Reminder letters will be suspended whilst a UBRN is in the ASI process.

Release 5.0 Functionality Support for the ASI Process – BMS Users Points to note:- • TAL Operators & Referrers can perform the following functions: • Book an appointment should one become available • Select another service from the shortlist • a message dialogue box labelled ‘Changing Patient Choice’ will be displayed alerting the user that this action may cause a delay and asks for confirmation that the patient has been consulted • Cancel the UBRN. • Referrers can: • Change the shortlisted services, ie, select an alternative service to add to the shortlist. • Patients can: • Book an appointment should one become available. • THE ABOVE OPTIONS WILL EFFECTIVELY REMOVE THE UBRN FROM THE ASI PROCESS

Release 5.0 Functionality Check Patient Details Dialogue Box – BMS Users • As part of the new ASI functionality, Choose and Book will display a new warning dialogue box to prompt the user to confirm the patient’s contact details. • The dialogue box will only appear once during the booking flow, but may appear in any one of the following screens: • Appointment Request Details screen • Appointment Details screen • Deferral Options Details screen
