Creating and Attaching your Research Plan • NIH requirements: Research Plan in 16 separate PDF files • Using Cayuse tools, you can: • Create a properly-formatted Research Plan in one Word document • Create one properly-formatted (fonts/margins), properly bookmarked PDF file from your Word document • One bookmark per section of your Research Plan • Upload the single PDF file to your SF424 form, and let Cayuse424 divide it into sections and attach each part where it belongs

  4. The tools you’ll use • Windows: • Microsoft Word • Word templates and add-ins, from Cayuse • The “Cayuse PDF Printer” • Mac OS X: • Microsoft Word • Word templates and add-ins, from Cayuse • The Mac’s native “Print to PDF” capability • A program, from Cayuse, to add bookmarks to your PDF

Windows: The Process, in a Nutshell • Using a word template supplied by Cayuse, start from scratch to create the word document (Research Plan) orConvert your existing Word Research Plan to the Cayuse format, using a Word “add-in” supplied by Cayuse 2. Complete your Research Plan and save it 3. From Word, send your document to the Cayuse PDF Printer to generate a bookmarked PDF with no headers and footers 4. Upload and attach your bookmarked PDF file to Cayuse424

Mac OS X: The Process, in a Nutshell • Create the Word document (your Research Plan), starting from scratch, via the “Project Gallery” orConvert your existing Word Research Plan to the Cayuse format, using a Word “add-in” supplied by Cayuse 2. Complete your Research Plan and save it 3. Print to PDF as you would for anything on the Mac 4. Add bookmarks, using the Cayuse-supplied program 5. Upload and attach your bookmarked PDF file to the Cayuse424

Before You Begin…. • Install the utilities you need: • Go to the RSP Web Site:www.rsp.wisc.edu/preaward/gg/cayuse_downloads.html…or follow the links from our Home Page at:www.rsp.wisc.edu • Download the utilities (templates/pdf writer) • Follow the installation instructions • Ask your local tech support staff to help, if you don’t have “administrator rights” on your PC

Cayuse Templates (what was installed) • BioSketch.dot • BlankContPage.dot • For Abstract, Narrative, Equipment, Facilities, etc. • ResearchPlan.dot • ResearchPlan1_1.dot • Use this to start from scratch • ResearchPlanAddIn.dot • ResearchPlanAddIn1_1.dot • Use this when converting an existing document

  9. To Configure the Cayuse PDF Printer (Windows only) • Control Panel:Printers & Faxes • Right click on the Cayuse PDF Printer • Choose “Printing Preferences” • On the Advanced Options tab: Check “Multi-language support” to enable Greek Characters

  10. Creating a New Research Plan Document (1) To begin: • Open Word • File | New… • On the task pane, click on Templates on my computer or General Templates • When the dialog appears, click on the Cayuse tab • Choose ResearchPlan1_1.dot and click “OK”

  11. Creating a New Research Plan Document (1) – Cont’d 6. In the dialog box that appears, answer some questions to determine the appropriate section headings and formatting for your Research Plan – being very careful about Human and Animal research components

  12. Creating a New Research Plan Document (2) • Reconfigure your Document by pressing the Reconfigure Info button. • Complete the screen carefully, as this will determine the proper outline of your proposal. If you didn’t immediately see questions about section headings:

  13. Creating a New Research Plan Document (3) • If a Macros Security dialog appears, allow the macros to run. • New Cayuse Toolbar buttons appear. • These buttons allow you to preview the document in both paper and electronic-ready formats. Windows: Mac OS X:

  14. Creating A New Research Plan Document (4) • If the Cayuse toolbar does not appear, then manually attach the template: • Go to the “Tools” menu • Choose “Templates and Add-Ins” • Click “Attach” and select from the Cayuse folder:ResearchPlan1_1.dot

Creating A New Research Plan Document (5) • To display the Outline of the research plan, click the “Display Outline” button • This shows all the possible section headings • You can copy and paste from this Window into your document, if you need to add a section heading • Otherwise, this is for your reference only

  16. Creating A New Research Plan Document (6) • You work section-by-section inserting your text • To save time during this demo, open the “Sample Text.doc” file and paste some text into your Research Plan

Creating A New Research Plan Document (7) • Scroll through and note the page breaks • If you add page breaks manually, you may have extras! • The section header style is “GSSectHead” • This causes a page break before the header • Signals the Cayuse PDF Printer to insert a PDF bookmark • Bookmarks allow the Cayuse424 Web tools to separate and attach the components of your Research Plan

  18. Generating a PDF • Save the word document • Click “PDF for Esub” – which prompts you for a destination folder for the PDF of the Research Plan • Note: PDF is an Esubmission requirement

  19. Generating a PDF (2) • The Cayuse PDF Printer creates a PDF of your Research Plan and tells you where to find it • Check the PDF to verify that it appears as you expected

  20. What’s different for Mac OS X? • When starting your Research Plan from scratch: • You must use “File | Project Gallery…” and select the “ResearchPlan1_1.dot” template

  21. Generating a PDF on OS X • In Microsoft Word: • Click “Preview PDF” • From the “File” menu, choose “Print” • Choose “PDF”, and then the “Save as PDF” option, and then a destination for the file • Exit Microsoft Word • Once you have your PDF, you must add the bookmarks using the AddBookmarks.jar utility • Click on AddBookmarks.jar • With the dialog box, navigate to select your PDF

  22. Generating a PDF on OS X (2) • A dialog will appear (be patient) which shows you the bookmarks added to the PDF • If they are all there, you are ready to attach your PDF to Cayuse424 • If a bookmark is missing, check your source document and look for problems with the headers (spelling, missing word, etc.) • Automatically saves a new file: The filename for the bookmarked PDF ends with “_bm”

  23. Converting an Existing Research Plan 1. Open the existing document 2. Tools | Templates and Add-ins 3. Click “Add” 4. Open the Cayuse folder 5. Choose “ResearchPlanAddIn1_1.dot” 6. Click “OK”

Converting an Existing Research Plan (2) • Click the “Reconfigure” button on the Cayuse toolbar • The add-in searches your document, looking for something that looks like the Section Headers • Then you carefully (!) answer the questions…. • If you had accurate & complete section headings then you might be done.

  25. Converting an Existing Research Plan (3) • Add any missing sections or correct any poorly-worded section headers • Note: Only the headers are ready. You still need to check fonts/margins • Click the “Reconfigure” button again • Repeat as needed • Generate PDF as before

  26. Templates for Other Attachments • There’s: • One for a Biosketch • One for a Continuation Page • You can use these Microsoft Word templates if you wish, starting at “File | New…” • You can use the Cayuse PDF Printer to make a PDF version of any attachment

  27. Things to Watch Out For • If you cut and paste from another document into your research plan: • Be careful with page breaks and section headers • Altered formatting, extra page breaks, or extra headers can cause problems later, when you try to create your PDF • If your text contains words like “specific aims” or anything else that also appears in a section heading: • The “search” will find this when you “reconfigure” your document, so be prepared to answer “NO” when you are asked whether those words should be converted into a section heading

  28. Attaching the Research Plan PDF • Proceed to the Cayuse424 system and navigate to the 398 Research Plan page. • components of the Research Plan are not yet attached

  29. Attaching the Research Plan PDF (2) • Composite PDF, press the Add button and browse for the file name and location.

  30. Attaching the Research Plan PDF (3) • Once the file is selected, press the Upload button; A “Results” message block appears (It looks like this): • Press OK and return to the Research Plan screen

  31. Attaching the Research Plan PDF (4) • The sections of the plan have a “PDF” link, showing that they have been added. • Click a link to view the PDF. • The Bibliography & References section has been placed in the Other Project Information form, item 8. • You have attached a Research Plan!
