  1. Permit Inspection Management System An Introduction to Web Page Functions

  2. Introduction • Plan Scan have implemented a web based system to enable builders to quickly and easily check inspection results and occupancy and building permit status. • All pages provide a link to produce a printable form which is designed to allow for keeping with the building file. • The web page is directly linked to our database, which is updated during the day with inspection results, occupancy permit paperwork received, building permits checked and building permits issued. • Inspection results are entered onto the system as soon as we receive the inspection form from the inspector. We endeavour to ensure this is done within 2 days of the inspection.

  3. Accessing The Site • The first step in accessing the site is to type in www.planscan.com.auinto your web browser.

  4. Inspection Results • Once the page has loaded up you must click on the Plan Scan banner to access the Plan Scan home page.

  5. Plan Scan Home Page • This is the home page of Plan Scan. It contains information about the company and also various web links. Here you must click on the “Client Login” menu button.

  6. Main Screen • This screen provides several different options. You can either check the inspection details or occupancy permit status of a single job, or log in to access more functions. • It is suggested to add this page to your favourites for fast access to the inspection results and other info.

  7. Single Job Status • If you click on either Occupancy Permit Status or Inspection Results, you will need to enter either the “building permit number” or the “reference number”.

  8. Building Permit Number • Some of the places the building permit number can be found are: 1) On the stamped plans 2) On the building permit forms 3) On the building site sign • Only the middle number needs to be entered (1437/010365/0)

Reference Number • Some of the places the reference number for the job can be found are: • On the “Memo to Site Supervisor” sent out with the building permit. • On the Occupancy Permit application form • It can also be found on the “overview of inspection results” which will be discussed shortly.

  10. Inspection Results • To begin looking up inspection results, go to the main page and click on the “Inspection Results” button. • At any stage if you want to return to the main page, click on the “Client Login” button.

  11. Inspection Results • Once you have found the permit OR reference number, enter it into the relevant box. In this case I have used the reference number. • Once the number has been entered, hit the “Submit Query” button.

Inspection Results • This screen shows the result of the search conducted in the previous slide. • As can be seen, this job has had all inspections approved shown by the dates within the green boxes. It also shows that the frame and final inspection were not approved, but have since been approved.

  13. Non-Approved Inspections • When an inspection has been not approved, the details are given below the inspection date box. • By pressing the “print” button next to the “Lookup another record” button, a report on the inspection dates can automatically be printed.

  14. Occupancy Permit Status • To begin looking up the status of Occupancy Permits, click on the “Occupancy Permit Status” button.

  15. Occupancy Permit • The steps for looking up the “Occupancy Permit” status are the same as for the inspections. • This screen will advise whether an occupancy permit has been issued. If it hasn’t been issued you can see what paperwork is required before it can be issued. If all the paperwork has been received and it is still not issued, ensure that the final inspection has been approved without any conditions.

  16. Client Login • Additional features are available if you log in using the username and password provide. • To begin, click on “Login here if you have a password” on the main menu screen.

  17. Username And Password • Enter your username and password into the relevant boxes and press the “Login” button.

  18. Client’s Page • Once you have submitted the correct username and password, the below screen will come up.

Client’s Page • Now that you have logged in, 3 new tools are available: - Building permits issued – Lists the permits issued over the last x number of days, where x is the number entered by the user. - Permit application status – Provides details on building permit applications currently being held at Plan Scan and includes a list of the items that we are waiting on prior to being able to issue the Building Permit. - Overview of inspection results – Provides a list of all inspection dates for current jobs where there has been at least one inspection and the occupancy permit has not yet been issued.

  20. Building Permits Issued • In order to check on which permits have been issued over a given number time, press the “Building permits issued over the last ? Days” button.

  21. Permits Issued • The permit issued function allows users to check on what permits have been issued. • The number of days to search over can be set to any number of days as required by the user.

  22. Permits Issued • Once you have selected the number of days to search and pressed the “Submit Query” button, the results will be presented as shown below.

  23. Permit Application Status • In order to check on the status of permit applications that have been sent to Plan Scan for approval but not yet been issued, press the “Permit Application Status” button.

Permit Application Status • The Permit Application Status tool allows builders to check what further information is required before a building permit can be issued for an application that has been submitted to Plan Scan for approval. • As additional information is received, the requirement list is amended to match what is still outstanding. • Where there are no requirements, the application may not have been checked yet or be waiting to be issued.

  25. Overview of Inspection Results • In order to produce an overview of all current inspection results, you must press the “Overview of inspection results” button.

Overview of Inspection Results • This tool has been developed to allow supervisors and construction managers to easily see what inspections have been approved and details of any non-approved inspection. • A quick glance over the list will clearly show any non-approved inspection results highlighted in red • By clicking on the reference number on the left hand side of the screen you are brought to the main inspection result screen, where you can check on why the inspections were not approved. • If you print this list out, the arrows in the right hand column help indicate any non-approved inspections. You may need to adjust the printer settings to “landscape” mode and to reduce the page to fit onto the paper in order to print this layout successfully.
