What has transpired to make you want to write the letter? • What do I hope to get out of it? • What do you expect to get out of it? • What is the best way to achieve this? • What information do I need to provide? • Dates; previous attempts; advertisement details; addresses; names; references; account numbers

  3. Purposes • To inquire • To apologize • To confirm • To request • To agree with request • To provide good or bad news • To enclose documentation

  4. The First Paragraph • Introduce the subject matter and state your purpose

  5. The Body of the Letter • One or more paragraphs clearly and logically creating the information for the reader • Focus on education; work experience, ability to work with others; interest in the field; interest in the company; responsibilities from previous positions

  6. The Final Paragraph • Rephrase your recommendation • Positive and unambiguous • Focus on appointment time or availability too

  7. Tone • Avoid jargon • Use simple, short sentences • Be clear and to the point

  8. Layout • Be clear and consistent

  9. Closing • Sincerely • Faithfully • Best wishes • Best • Warmly
