Using data from existing files All of these file types can be opened in Word: • .txt (text file: no formatting) • .rtf (Rich Text Format: text can retail formatting eg Bold/bullets etc. Can be imported into many different packages.) • .doc (can only be opened in MS Word) Sometimes when you use existing data in a word processed document, it isn’t always formatted the way you want it.

  4. Task 1 • Open Word. • Using the Office button, open the file called First Gear.csv from J:\ICT\Y11\Revision\Word Processing

  5. It should look like this:

  6. Converting text to tables • Select the arrow under the Table icon.

  7. Be careful!

  8. You should have this:

  9. Using lists and tables Adding/deleting columns or rows • Put your cursor over the edge of the row/column: it turns into a black arrow • Double click to select • Right click:

  10. Task 2 • Delete the row containing the Future Concept car. • Add a new row between Aston Martin and Audi Q7: enter the data

  11. Shading • Highlight the row/column as before • Right click and choose Borders and Shading/Shading tab

  12. Automating processes • Date/Time • File information

  15. Task 3 • Open Task 3.doc • In the footer, add Today’s date and time • Add the Word Count for the document • Save the document to your desktop • Add an automated file name and path

  16. Widows and orphans 1 • If you start a paragraph of text on one page but there is not enough room on the page to get the last line typed in, the single line of text which appears at the top of the page ON THE NEXT PAGE is called a widow.

  17. Widows and orphans 2 • Similarly, sometimes you start a paragraph of text at the bottom of a page but you can only type in one line before the rest of the text goes on to the next page. This line on its own at the bottom of the page is called an orphan.
