  1. ITSF 2013 Wednesday 22 May 2013 Round table discussion R2.2 How to deal, from a safety point of view, with visits to the institute

  2. Representatives of following Institutes: CERN, DESY, PSI, SOLEIL, DIAMOND, ALBA, INFN Return from questionnaire: ALBA, CERN, PSI, SOLEIL, STFC, ESO, DIAMOND, ESRF, ESS

  3. 1. Do you consider that group visits constitute a safety issue at your institute (e.g. yes because of the large number of visits, no because of only occasional visits or no specific hazards in areas visited, ...). If you have some statistics about numbers of visits / visitors, this could be useful. All institutes consider the issue of visitors must be handled appropriately from a safety point of view. Whereas group visits are more or less easy to deal with, from a safety point of view, individual professional visits are more tricky.

  4. 2. Are group visits subject to prior safety approval? If yes, how is this managed? Yes, one way or another. Ranging from predefined visitors routes, which have been cleared in advance by Safety, to individual group visit’s approval by Safety. Site security screening is not generally required.

  5. 3. How do you deal with supervised radiation areas (age limits, specific precautions, ...)? Limits on integrated dose, dose rate, limits on age.

  6. 4. How do you deal with group visits to the experimental hall (specific hazards, e.g. magnetic fields, daily changes in hazards due to changing experiments, ...)? See question 2. Specific training of guides.

  7. 5. Precautions for children (is there a general age limit?), handicapped people, ... Range of situations: No age limit, e.g. if children accompanied by parents Age limit for certain areas of the facility Age limit for entire facility Visit routes accessible to handicapped people are foreseen Underground access for handicapped people generally not allowed

  8. 6. Does your institute organise open days. If yes, are there specific safety measures taken. Most institutes do organise open days. Since open days are organised well in advance, the general feeling was that this was easier than the standard group visits. Those institutes who regularly deal with VIP visits consider those to be the most complicated visits to manage.

  9. 6. Does your institute organise open days. If yes, are there specific safety measures taken. STFC: See attached checklist for the general guidance we give to those organising open days or other such public events, we try to review this and add new learning. DIAMOND: Yes, these are covered by risk assessment.  The main controls are trained escorts, selected routes and staggering of groups. ESO: Open days in GER, and presumably a visitor centre in mid-term. Weekly week-end visits to the public at observatories (not yet ALMA). The available tour areas are singed out, and no-go areas are clearly defined. ESRF: yes, every few years. Open days prepared by Communication Group, with involvement of Safety Group (professional first aid / medical service present during open days – Safety Group on call or present)
