Tips/ Reminders • Pantry Forms • Look for forms in “Statewide” first then “Region Specific” • don’t use last years forms saved to your hard drive. • ASP 6 – contains modifications to the standard specs. That are applicable to your contract. The online version of the Spec book also shows modifications via ASP 6 – but verify with the ASP 6 in your special provisions • Perform a FITs send weekly.

  3. Contract Modifications • Johnny Gerbitz – FHWA indicated the SW Region did very well with change orders and Justification Records on federal oversight projects. • A few reminders: • Justification Records (JR’s) should be stand alone documents. • One JR per issue. (may include several bid items) • JR’s should include supporting documentation for how the prices were derived and accepted.

Contract Mod’s con’t • FHWA Prior approval required on contract mods (federal oversight projects): • >$50k • Accepts non-conforming materials • Change in scope or project limits • Adds proprietary or public agency supplied products. • Modifies or deletes interim completion date. • Includes a CRI

Contract Mod’s con’t • Contract Modifications for Non-conforming materials left in place • Contractual price reduction (800.xxx items) • See CMM 8-10.5.3 • Non Contractual price reductions • See CMM 8-10.5.4 • New item with same bid item but with a supplemental description “price reduction-nonconforming material- reason”

Field Manager & FITS • When entering field staff into Field Manager- make sure to follow example in the project leader packet (provided at the precon) • Once a field office number/ location is known – fill in FITs Staff/ Field Office tab with this information. • Email contract specialist once this is entered (Lynn West – La Crosse; Kelly Addison- Madison)

  7. Field Manager & FITS con’t • Everyday the contractor is working, record men and hours, worker classification and work performed in Field Manager- IDR. Labor Compliance Staff relies on this information. • Enter structure clearances in FITs structure tab prior to opening to traffic. Also fill out pantry bridge clearance form and send to Bridge Maintenance Engineer.
