HELPFUL HINTS FOR WORD PROCESSING: • Make sure you highlight what you want to change before you change it!! • Make sure you have one space after the period. • Highlight and Select mean the same thing. • Make sure you have everything spaced out correctly and nicely. ONLY DO WHAT THE QUESTION ASKED YOU TO DO!!

WHAT YOU NEED TO KNOW: • AUTOSUM • FUNCTIONS: • SUM (Adding a series of numbers together) • AVERAGE (Adding a series of numbers together and dividing by how many numbers there are) • MINIMUM (Finds the lowest number is a series of numbers) • MAXIMUM (Finds the biggest number in a series of numbers.

  18. HOW DO YOU DO THIS??? • Put your cursor WHERE you want your answer to go. (DON’T HIGHLIGHT IT) • Click on the FUNCTION button on your toolbar. • (FUNCTION)

  19. SORTING YOUR SPREADSHEET • You can either sort in ASCENDING or DESCENDING order. • Ascending – A-Z, 1-100 (alphabetical) • Descending – Z-A, 100-1

  20. HOW DO I DO THIS??? • Highlight the ENTIRE column you want to sort by clicking on the column or row title. • Click on the appropriate sort

  21. Deleting Rows and Columns • If the test question asks you to delete a row or a column, you MUST highlight the entire row or column, not JUST the information. • To do this, click on the Column or Row label. • Then go to EDIT-DELETE.

  22. INSERTING A ROW OR COLUMN • Either you are going to Insert a ROW ABOVE or a COLUMN BEFORE. • IT IS ABOVE AND BEFORE THE ONE HIGHLIGHTED. ROW – goes back and forth COLUMN- goes up and down

  23. TO DO THIS… • Click on the column after or the row below where you want it to go. • Click on INSERT and choose either Row above or Column before.

  24. HOW DO I CREATE A CHART/GRAPH? • HIGLIGHT the information you want to put in your graph. • Choose which type of chart they want you to create. Horizontal Bar Chart Pie Chart Vertical Bar Chart Line Chart

  25. MAKE SURE YOU… • Title your chart if they ask you to. • Label the X and Y axis if the question asks you to.

  26. Last, but not least… MODIFY CELL TYPE • Go to your DATA menu and choose MODIFY CELL TYPE. • You can choose • Whole number • Decimal Number • Money • Date (MM/DD/YYYY) • Date (YYYY) • Text • True/False • Text • Header • Function

Helpful Hints for Spreadsheets. • To delete or sort a row or column, make sure you highlight the ENTIRE column or row, not just the information contained in it. • To Insert a Function, DO NOT HIGHLIGHT. Just put your cursor where you want the answer to go. • Before you Modify a cell, you must first select that cell.

  30. What is it Used For? • DATA – Collection of information; Organizing Data • Student list (Name, Phone number, Address) • Baseball card collection (Player Name, Team, Year drafted) • List of US States and characteristics of them. (State name, Capital, State Flower, Population)

What you need to Know • Sorting – Ascending or Descending (Just like Spreadsheets) • Put the states in alphabetical order • Key words: Most, Least, Greatest, Smallest • Filter Data – When you are looking for specific information • Who was born in Florida? • Whose phone number is 555-5943? • How many people are over the age of 55?

  34. TO FILTER… • Click on the Filter button or go to DATA and down to filter Choose the field you want to filter

  37. If you have more than one criteria you are looking for: Choose the connector AND or OR. AND means all criteria have to be there (Who has the first name Keith and plays sports.) OR means either or. (Who plays sports or likes to read)

  38. IF YOU SEE THIS AFTER YOU FILTER… YOU DID SOMETHING WRONG…TRY AGAIN.

  39. The question asked you to delete the field named “LAST NAME.” What's wrong with this?

  40. You didn’t delete the Field, just the information in the field. You must highlight the entire field by clicking on the word LAST NAME.

  41. DELETING A FIELD OR RECORD You MUST highlight the ENTIRE field or record before you go to EDIT-DELETE, not just the information!

  42. ADDING A FIELD OR A RECORD: • Go to INSERT down to field or record. • When you insert a filter, you will see the following. Type in the name of the field. Choose what type of field you want to add.

  43. RENAME A FIELD • You want to change the name of the field SPORTS to the word BASKETBALL. • Click on the word SPORTS to highlight that entire field. • Go to DATA on your menu bar and down to RENAME FIELD.

  44. MODIFY FIELD TYPE • You can change the field type to: • Text • Whole # • Decimal # • Money • Date mm/dd/yyyy (Ex. 08/15/1975) • Date yyyy – (Ex. 1975) • True/False

  45. Click on the field you want to modify.Go to DATA down to MODIFY FIELD TYPE. Choose the type you want from the drop-down menu.

  49. PARTS OF YOUR E-MAIL SCREEN To: the e-mail address of who you are writing to. Subject: What the message is about. CC: Stands for Carbon Copy. If you want to send a copy of the message to another person.
