Moving Forward:SIMS Support Team • Contacts: • http://www.callistasupport.uwa.edu.au/welcome • Helpdesk • extension 4777 • email sims-support@admin.uwa.edu.au • Team structure • 4 Technical staff (local developments, Connect) • 6 business process support staff (fees, enrolments, grad etc) • 1 training coordinator • 2 helpdesk staff • Flexible allocation of resources – eg assisting Student Admin • Feedback so far has indicated an excellent service ethos

  5. Moving Forward:Business Process Review • A formal review is held after each major business cycle • A formal SIMS Post-Implementation Review will be conducted prior to July and will involve the SSRG

Business Processes Exercised 2005 • July – upload of Semester 1 results – individual manual checking of every single result • Sep-Oct – Examination timetabling • November – Upload of Semester 2 results – Schools staff did an excellent job • Nov-Dec – Re-enrolments on-line for most • Dec – Offers to School Leavers, Postgrads, Honours 2006 • Jan-Feb – New enrolments • Feb – Class Lists

  7. SIMS System Volumes • 64,505 Semester 2 Examination results uploaded • 19,037 Students enrolled for 2006 • 111,759 Unit enrolments for 2006

  8. On-line re-enrolments 9,409 students re-enrolled on-line

  10. Current Issues:On-Line Enrolment Majors – Working Party to review and agree on solution Failure to Confirm – further training material for students

Current Issues:INVALID Unit Status • Change in unit codes caused a number of equivalent unit rules to be missed where a new unit was added • 2,740 units have had the rule breach waived • 3,493 units still INVALID as of this morning • Other universities have had a similar experience the first time rules were applied by the system • Working Group to review issues – SSRG • Training for staff and students

  16. Current Issues: Enrolment Approval Screen • First time used • Working group to review and improve (eg DIY downloadable report)

Current Issues:Others • Familiarisation with a new System • Terminology, business processes not clearly understood – a program of staff training to be developed and delivered prior to Sem 2 • Support levels • Budget submissions are subject to the normal level of constraint • CPU • Being reviewed – data is being collected on the volumes of work • Admissions Office helped with re-admissions • Opportunities for improved business processes are being identified • Internal AREC • A Working Group will review the AREC and recommend improvements
