    Gain Valuable Leadership Experience Personal Growth To Build Meaningful Relationships Build Community Connect with the Entire University
  5. the most important thing about planning any type of event is starting early

    2-3 Months is an Appropriate Amount of Time But the Sooner the Better
  6. Questions to Ask yourself before you even start planning

    Why are we having this event Who is it targeting What are the intended outcomes How much money do we want to spend Can I/we co-sponsor with other campus groups
  7. First Things First

    Set up a meeting with your advisor Discuss possible dates and locations Schedule the space you need TSC Scheduling – Suzann Miller 797-1724 Any Classrooms on Campus – Rooms@usu.edu Fieldhouse/Green Space - JP Parish 797-7218 Facilities – Justin Williams 797-2995 *For most of the big events we’ve already scheduled your space but always confirm with your advisor. The TSC calendar is already very full for the entire year so PLAN VERY FAR IN ADVANCE!!!

    Budget Review previous year’s budget Consider Co-Sponsoring Create Estimated Budget Possible Expenses: Decorations: Entertainment: Hospitality: Transportation: Lodging: Catering: Tech Services: Publicity: Thank You’s: Security: Parking: Facilities: Other: (i.e. wristbands, door prizes, ticket printing, equipment rentals) Total Estimate: Actual Total:
  9. TSC Policies and Procedures

    All events must have a Pre-Event planning guide turned in 2 weeks prior to the event There is no outside food allowed other than the 3rd floor Coke-only campus, includes water and energy drinks For large/complicated events attend Wednesday scheduling meetings the week before- 4:00 Fireplace Room
  10. You can’t just organize a great event & assume people will show up…. You’ve got to advertise!!!!!!!!

Advertising Timeline8+ weeks Submit Design Request form6 weeks Begin the “bid” process4 weeks Tickets on Sale4 weeks Contact printing company with preliminary order2-3 weeks Submit final order to printing company 2-3 weeks All advertising distributed1 week Change-up/add to advertisingDay of “Today” signs up!
