  1. How to write a memo-giving update or status report-header Denny’s boss agreed that Denny should meet with the client service managers. After doing so, Denny needed to write an update or status report regarding his efforts. Below is the header of this memo: To: Ryan O’Brien From: Denny Liang Date: April 5, 2011 Subject: Input from client service managers

  2. How to write memo-giving update or status report-overview Below is the “Overview” of Denny’s update/status report memo: Overview During the past two weeks, I have spoken with all 15 of our division’s client service managers. After synthesizing their input, I’ve determined that the key client issues fall into two categories—cutting service delivery time and exploring other ways to cut costs.

  3. How to write memo-giving update or status report-logic flow • Denny’s logic flow included the following three sections: - Cutting service delivery time - Exploring other ways to cut costs - Suggested next steps • Above three were the titled sections of his memo that followed the “Overview”. Denny did NOT write a separate “agenda” that listed these three sections as he would have done in a PowerPoint presentation.

  4. How to write memo-giving update/status report-1st section of logic flow Cutting service delivery time According to our client service managers, our two largest clients want to trim service delivery time by at least one day. Five midsize customers seek to cut up to one day from the current schedules. And 10 clients would like shorter time frames, ranging from 2 to 4 hours shorter.

  5. How to write memo-giving update/status report-2nd section of logic flow Exploring other ways to cut costs Our managers also cited that several clients are interested in semiannual meetings at which we would discuss additional means of lowering their expenses. In this regard, our two largest clients said that they’d like to hold meetings with us that are similar to those between them and their Big 4 accounting firms.

  6. How to write a memo-giving update/status report-3rd section of logic flow Suggested next steps If you agree, we may want to share these findings with both client service managers and select division personnel. That way, we might be able to initiate a dialogue on ways to deal with both categories of client issues. At the same time, you would get a sense of those personnel best suited to any problem-solving team we might create. If you’d like to discuss the preceding information in more detail, please let me know.
