  1. FedStat 508/AccessibilityWorkshop Peter Zadarlik Senior Technical Subject Matter Expert Accessibility Center of Excellence (ACE) http://stategov.ciber.com/ACE

  2. Preliminaries • PowerPoint presentation • Available • Tested with JAWS • Contact: ACE@ciber.com • Used Synonymously Here: • Assistive Technology • Window-Eyes • JAWS • Screen Readers

  3. Example 1 - Before

  4. Example 1 Issues • Sub-geographies cannot be determined since assistive technologies do not indicate leading spaces.

  5. Example 1 Issues • Column spanning headings are read only in column of definition

  6. Example 1 Issues (cont.) • Hyphenation of headings and separation onto different rows

  7. Example 1 Issues (cont.) • Cannot determine row and column heading location & footnote location

  8. Example 1b Solutions • Sub-geographies – Use a non-blank character to indicate indentation.

  9. Example 1b Solutions • Repeat column spanning headings in all columns.

  10. Example 1b Solutions • Remove hyphenation of headings and merge the cells into one cell.

  11. Example 1b Solutions • Tell where the row and column headings are. Begin the footnotes with a cell that says “Footnotes”.

  12. Example 1 - Before

  13. Example 1 - After

  14. Example 2 - Before

  15. Example 2 Issues • Issues Identical to Example 1 • Cannot determine row and column heading location • Sub-categories cannot be determined since assistive technologies do not indicate leading spaces

  16. Example 2 Issues • This is multiple tables in one spreadsheet

  17. Example 2 Issues • Cryptic Headings

  18. Example 2b Solutions • Indicate that there are multiple tables and where the row and column headings are located.

  19. Example 2b Solutions • Use the same indentation scheme as for example 1. • Insert human-readable headings.

  20. Example 2c Alternative • Indicate indentation by placing indented categories in separate columns.

  21. Example 2 - Before

  22. Example 2 - After

  23. Example 3 - Before

  24. Example 3 Issues • Cannot determine row and column heading location • Footnotes are not distinguished • Sub-categories cannot be determined since assistive technologies do not indicate leading spaces • Cryptic Headings

  25. Example 3b Solutions • Same solutions apply • Locate row/column headers • Locate footnotes • Use alternate indentation scheme • Expand cryptic headers

  26. Example 3 - After

  27. Example 4 • Issue: • Units placement and format “$ billion” • Solution • Indicate the table units at the top of the table in words in a conventionally understood format: “Billions of dollars”

  28. Example 4 - Before

  29. Example 4 - After

  30. Example 5 – New Issues • Complex Visual Formatting • Multiple Units of Measure

  31. Example 5 - Solutions • Complex Visual Formatting

  32. Example 5 - Solutions • Multiple Units of Measure

  33. Example 6 – Issues • Location of headings • Units of measure • Column header presentation • Possibly difficult to understand header

  34. Example 6 – Solutions • Location of headings

  35. Example 6 – Solutions • Units of measure

  36. Example 6 – Solutions • Column header presentation

  37. Example 6 – Solutions • Difficult to understand header

  38. ACE Best Practices • Insert a cell giving information about spreadsheet structure (multiple tables, row and column headers). It can be made invisible. • If the units of measure are important or ambiguous insert a cell with that information.

  39. ACE Best Practices • Insert a cell demarcating the footnotes. • Remove hyphenation • Merge multi-cell headings into one cell. • Re-label difficult to understand headers

  40. ACE Best Practices • Indicate indentation by using a character that is spoken. Hide these characters if desired. • Encourage learning screen reader capabilities. • Don’t protect or lock a spreadsheet

  41. Gary’s Rule • Tell me everything I need to know to understand what’s going on with my eyes closed.

  42. Accessibility Analogies • Web: • (g) Row and Column Headers • (h) Header Cell Association • (i) Frame Titling for Navigation and Orientation • (c) Use of Color

  43. Translation to Spreadsheets • Spreadsheets: • Clearly identify Row and Column Headers • Repeat Header Information as needed • Use a method for showing nesting explicitly • Choose titles and headers that completely describe the spreadsheet in content and layout

  44. Other Possibilities • Scripts ~ Macros • Alternative Text ~ Comments • Forms ~ Forms • Flicker ~ Flicker • Multimedia ~ Multimedia • Client-side Image Maps ~ Hyperlinks • Text-Only Page ~ Non-spreadsheet alternative
