VP’s Common Duties: • Serve as voting members of the Board. • Acts as liaisons to the board for their respective committees. • Prepare a report to the President a week before board meetings. • Attend meetings of your respective committees. • Secure suggestions from your committees to present to the board on their behalf. • Perform other duties as requested by the President, Ex VP or the Board. • Identify and mentor future chapter leaders.

  5. VP of Seminars Role The VP of Seminars is responsible for finding resources to help educate chapter members in RIM basic and advanced practices for paper and electronic based systems. These educational opportunities occur at monthly meetings and annual seminars.

VP of Seminars Roles • Serves as a member of the Chapter’s Board and acts as a liaison to the Board and to the committees under his/her jurisdiction. • Submits agenda items to the President approximately one week prior to Board meetings. • Provides assistance and direction to committees in such activities as member relations, professional development, public relations, and seminar. • Submits written reports of committee activities to the Board at each scheduled Board meeting.

  7. VP of Seminars Responsibilities • Coordinate and plan the annual Chapter Seminar. • Prepare monthly reports of activities for Board Meetings. • Comply with the ARMA International Manual on Seminar planning.

  8. VP of Seminars – Committee • A Standing committee is composed of a chairperson and one or more committee members. • Volunteers are chosen by the VP of Seminars. • The chairperson directs the activities of the committee and develops and submits a budget to the Vice President of Seminars.

VP of Seminars – Committee Responsibilities • Coordinate and plan the Annual Chapter Seminar. • Prepare and submit, through the Vice President of Seminars, a monthly report of committee activities prior to monthly Board meetings. • Comply with the ARMA International manual on seminar planning.

  10. VP of Professional Development Roles & ResponsibilitiesTraining Co-Presented by:

  11. VP of Professional Development • Educate chapter members and potential members with personal development & professional skills • Develop workshops and luncheons programs • Secure knowledgeable speakers. • Host and present workshops. • Assist with Educational Programs and Seminars.

Speakers at Chapter Meetings • Speakers for these programs should be knowledgeable on the subject of records and information management. • Speakers may be obtained from a number of local sources – businesses, college and local government. They can be from within the chapter or from other chapters. • It is always interesting to hear how other organizations maintain their records. • Last year, the Midland Chapter had speakers from ARMA Members from Houston and Dallas and one of its own members gave a program. A representative from the local Chamber spoke at one meeting.

  13. Speakers& Program Ideas • Shake things up a bit by scheduling a tour of a records facility, a museum or any other appropriate place instead of at the “usual” meeting place. • ARMA provides a Speakers Bureau and an extensive list of topics for presentation to chapters.

  14. WORKSHOPS • Workshops are an excellent means of educating the attendees. • A workshop can be an extended regular meeting or can be held separately. • A business meeting should not be conducted at the workshop, since some not all chapter members may attend the workshop.

WORKSHOP IDEAS • “On Demand” Web Seminars available free from ARMA. • Webinars can be used for regular meetings & workshops. • Webinars provide flexibility & easy access at your convenience. • Subjects include MER Conference programs, SharePoint, RIM and new technologies. • Access the list at www.arma.org/eweb/DynamicPage • Be sure that the technology is working properly in advance of your meeting so attendees don’t wait while the laptop and projector are set up & Internet connections made!

EDUCATIONAL PROGRAMS • The Professional Development VP assists with education programs and seminars by searching out possible educational opportunities. • These may exist through a nearby college, ARMA International or industry specific areas. • The Prof. Dev. VP should bring any new programs to the attention of the members.

  17. VP Prof. Dev. Duties & Committees • Appointing Program Committee members and directing the activities of the committee. • Arranging for the program for each regular chapter meeting. • Serving as advisor to and coordinating activities of the Arrangements Committee. • Planning & executing an annual chapter seminar with the Seminars Committee.

  18. VP Prof. Dev. Duties & Committees 2 • Negotiating contracts with the meeting facility. • Developing, with the committee, an annual chapter seminar that offers exposure to the RIM industry and increases funds for the chapter. • Facilitating the program portion of the chapter meeting. • Performing other duties as specified by the chapter president or bylaws.

  19. VP of Prof. Dev.Committees VP of Prof. Dev. has oversight over the following committees: • Education (scholarships) • ICRM • Library • Programs (monthly meetings)
