  3. What is RoyalDrive? • RoyalDrive is a network based document management system for selected members of the University community. • Xythos - Same thing

  4. Access Who has access to RoyalDrive? • All full-time faculty and staff • Part-time faculty and staff - by request • Students - by request Where do I access RoyalDrive? • Through the My.Scranton portal - WebUI • Through the Xythos Drive Client - The Client • Needs to be installed. Located in RoyalDrive under Support/Downloads.

  5. Remote Access • My.Scranton Portal If editing files (options): 1. Launch Web Folder*** - Located within RoyalDrive (WebUI) 2. Save to desktop, edit, upload 3. Install Xythos Client*** - Located in Support/Downloads folder. Click Run, Run, Setup. May need to temp disable your virus protection software prior to install.

Benefits - Access: Work, Home, On the road - Security: Documents stored on server, backed up, encrypted - Simplifies Documentation Collaboration: share data, review documents, view changes in one central location - Use of file links and tickets: eliminates the need for email file attachments significantly reducing the burden on email servers - Example: Sungard

  7. Home Directory • Home Directory - This is your own personal “space” in RoyalDrive. - WebUI: Directly into it at login. - Client: Click Users Folder, then your Username folder. - Users are granted a default quota of 500MB in their home directory. This quota includes files that have been placed in the trash folder.

  8. Group Directory • Group Directory - Group Directories are available for University departments and groups. (Dept Code) - Group directories make it easier for departments and groups to share and manage common files. *Dept Meetings, Dept Projects - Group Directories are granted a default quota of 1GB. - WebUI: Click on Yellow folder icon in Home Directory/Groups Folder - Client: Click on Groups Folder - Not all functions available as in the Home Directory. *Group Manager

  10. Tickets • Tickets allow both RoyalDrive and non RoyalDrive users access to your files and folders. By using the ticket functionality, you may allow specific access to your files, folders and their sub-folders. • A folder ticket can be thought of as a direct online link to a folder. The person with whom you'd like to grant access to the or folder will receive an e-mail with the online link. When the link is clicked, the user is taken to the RoyalDrive interface and the folder's file and sub-folder listing displays just as you would see it in its regular folder listing screen.

  11. Tickets • When granting access to files and folders through tickets, you must define the type of access or permissions the user(s) should receive. Viewer (R) or Contributor (RWD). - Can also set time limits. • In addition to setting access/permissions for your ticket, you may also password protect the contents. When the user receives the ticket link via e-mail, they will be prompted for a password when attempting to access the link.

  12. Using the MFD to Scan into RoyalDrive • Requires the Xythos Connector – Latest version is 2.0. Currently installed on over 60 departmental MFDs. • The Connector enables users to scan directly from the MFD into folders in their home directory in RoyalDrive.

  13. Scanning into RoyalDrive • Users select the ‘Scanner’ or ‘Other Function’ button on the MFD. • Select Login – enter your RoyalDrive user name and password. • Select the Directory button • Select the Home button – this will display a list of the folders in your home directory, 4 per screen. • Select the appropriate folder, select ‘OK’. • Press the start button on the MFD – scanning will begin. • To complete the RoyalDrive scanning, users can simply select the Logout button on the display panel. If there is no activity for a period of time, the connector will automatically log the user out of RoyalDrive. Default is 5 minutes.
