Article 19

The Student Representatives to the University Committees will be obliged to send to the VicePresident of the Student Government, the Chair of the SRSC and the liaison assigned for the particular committee a report after each Committee meeting that includes:

  • the official Committee minutes
  • the Student Representative’s comments

  • Within 72 hours after the Committee meeting took place
  • The Student Representatives to the University are obliged to send reports and minutes to specific e-mail address provided by the SRSC
  • The Student Representatives to the University are obliged to send notification to SRSC if the committee they are assigned to has not had any meetings yet.

  • The breach of contract by the Student Representative will serve as grounds for dismissal from the position based on:
  • Failure to send the meeting’s agenda to e-mail address provided by SRSC within appropriate period of time
  • Failure to send report to e-mail address provided by SRSC within appropriate period of time

  • Failure to notify SRSC and SG immediately about the emergency situation
  • Failure to attend the Committee meeting without prior notice to SG
  • Failure to communicate with Vice President, SRSC Chair and Liaisons

  • Article 1.

All AUBG clubs, existing and new, need to apply for recognition. Clubs will be recognized for only one Academic year.

  • Article 2.

Applications for club recognition can be submitted on a rolling basis.

Each application should include the following documents:

    • Application form
    • Constitution
    • Names, signatures, and e-mail of the supporting members (at least 15)
    • The names of the officers

In order to receive funding from the Sports Office, clubs need to be recognized by the Student Government.

  • Article 5.

The application package shall be submitted to the Student Government (henceforth SG).

  • Article 6.

The Budgetary and Allocation Committee (henceforth B&A) will collect and review applications according to its club funding guidelines.

  • Article 7.

Event-based clubs do not need to be recognized by the B&A.

  • Article 8.

Any club that was granted a bucket on ASA, cannot apply for an additional funding during the whole academic year.

Any club that was not granted a bucket on ASA, should follow all required guidelines for recognition and funding.

  • Article 1.

Upon request a club should present to the SG the following documents:

      • A list of activities;
      • An up to date inventory list;
      • Amendment to the club constitution (if any);
      • An up to date list of officers and members.

The B&A will evaluate each clubs’ performance according to the information provided and in accordance with its own regulations.

Only recognized clubs can apply for funding.

  • Article 2.

The budget proposals should be presented on an item by item basis and the relevance of each item should be explained.

  • Article 3.

The B&A reserves the right to partially fund selected items.

  • Article 4.

Priority will be given to the clubs who demonstrate ability and willingness to find funding from other sources.

  • Article 5.

Priority will be given to the clubs who enhance student life and AUBG spirit.

Priority will be given to the clubs whose activities involve a big number of students and they benefit a large portion of AUBG university community.

  • Article 7.

The B&A does not fund accommodation and travel expenses.

The B&A reserves the right to set deadlines for a club to spend the allocated money.

  • Article 9.

The B&A can grant no more than $12 (twelve dollars) for promotional materials (posters, flyers and etc) per event.

The B&A cannot grant for refreshments more than 30% of an overall budget of the project (excluding refreshments itself).

  • Article 11.

3rd rejection of a project budget by B&A is final and is not subject for further reviews.

Any of the above mentioned articles can be changed or new articles can be added during the academic year by the absolute majority of the SG Senate. In case of constructive abstentions, the simple majority rule will apply.

  • Article 1.
  • The recognition process of sport clubs should follow all the Budgetary and Allocation Committee requirements for student club recognition.

  • Article 2.

Only recognized clubs can apply for funding.

    • 2.1 All sport clubs should apply for small value assets funding to the Budgetary and Allocation Committee.
    • 2.2After the approval by the B&A Committee, the approval of the Athletics Department’s manager is required.
    • 2.3 The funding for the sport clubs shall be received from the Athletics Department’s budget.

  • 2.4 Equipment approved by the SG will be counted as a capital good. Therefore, should be kept for the following years of work of the respective club.
  • 2.5In case of a damage or loss of the equipment, respective club’s president become liable for the costs of repair or repurchasing, which will be charged against their student account.

  • 2.6In the end of the academic year, sport clubs’ presidents are responsible to store all approved capital goods in the Athletics Department’s storage.
  • 2.7 All Budgetary By-Laws will be applied towards the student sport clubs applications as well.
