  5. Hierarchical Image File StoragePerformance and Scalability Pain Point All fax image files were stored in one directory. When accessing the image file directory, the system would search through all fax file images to find an individual fax. Solution The image directory structure is now hashed, and each fax stored in its own unique subfolder within the RightFax directory. Advantages • Image file searches and scans are fast • File I/O times are faster • Fax images open quickly • Increased server environment scalability Impact • Increased productivity • Faster server response time • Consistent fax server performance over time • Sustained performance regardless of number of faxes or image files

  10. Image EnhancementsUser Experience Pain Point Often, a fax will arrive skewed, with image defects, or not transmitted cleanly. Users prefer a cleaner fax image, while still maintaining the integrity of the fax. Solution RightFax processes incoming faxes to: • De-skew the image • Adjust the image for proper reading orientation • De-noise the image Advantages • Skew removal provides proper orientation of text • Adjustment to proper reading orientation improves readability • Noise removal cleans up the image to remove scan artifacts and transmission noise • Impact • High quality, improved image for users to view • Original document retention for compliance and other purposes

Users want a web client that is 508 compliant. Solution The user icons have been redesigned. The Web Client works on multiple platforms and multiple web browsers. The Web Client is 508 compliant. Advantages • Users can use the following web browsers: IE, Firefox, Safari and Chrome • Users can use both Microsoft Windows and Apple Mac OS platforms • Compliancy with 508 regulations • Impact • Increased productivity for users to access the fax server remotely via multiple platforms and multiple browsers • Accessibility for the vision impaired

Solution A new user interface for administrators within EFM is now available to select which cover sheets and library documents are available to defined user groups. Advantages • Allows administrators to choose which cover sheets and library documents are available to defined user groups • Allows administrators to limit the documents available to certain groups • Impact • Greater control over cover sheets and library documents • Greater control over access to server documents by groups • Simple and intuitive UI

  19. File Conversion White-ListAdministrative Control Pain Point Users try to send files that are not in a faxable format. Administrators wanted to limit the types of files that can be sent via RightFax. Trying to send a file in an unsupported file type caused increased overhead on the RightFax server. Solution Administrators can now create a white-list of file types that they want the RightFax server to covert for transmission. RightFax will only convert and transmit those file types that are on the white-list. Advantages • Administrators can limit the file types that will be transmitted by RightFax • Users can only send approved file types via RightFax • Impact • Greater control of the types of files that can be sent via RightFax • Prevention of processing time wasted on non-convertible file types • Reduction of server overhead consumed by unsupported file types.

Solution A newly built Lotus Notes Gateway has been written to support Lotus Notes 8.5.2 and 8.5.3 applications. Advantages • Provides support for the most recent versions of Lotus Notes • Allows users to send and receive faxes via the latest versions of Lotus Notes • Impact • Creates a fully united fax and email solution that allows users to send, receive and manage faxes directly from their Notes client.

Advantages • Each fax number will be verified by OpenText to validate its authenticity • HIPAA Security Rule §164.312: Healthcare organizations are required to “Verify person/entity seeking access to electronic protected health information is the one claimed.” • Impact • Confidence that the authenticity of the receiving entity has been validated for increased security and compliance
