  1. Sunivo Chinese summit proposal April 12th 2013

  2. OVERVIEW

  3. QUICK OVERVIEW Organize a summit where we are going to invite US chemical companies (mostly SMEs) that are willing to export to China and invite in the meantime, Chinese customers (mostly SMES) that are willing to import these chemicals in China. Ratio shared by Tony 200 people from US and 800 from China. Topics will highlight the difficulties of exporting and importing in order to propose our services to facilitate it. Workshops will be organized by Sunivo with suppliers and customers. Chinese customers should sign a non-disclosure agreement and agree to use our BPO services This forum will have great impact because it will help American companies to reach China > facilitating our top speakers to join the summit (even for the Chinese side)

  4. OBJECTIVES Create business opportunities for Domestic (BPO and import) and for International (mostly Houston office to some extent intl trading) Bring Sunivo brand to a broader audience: US companies and US government, Chinese SMEs and Chinese government. Publicize the brand through media Event should have a ROMI exceeding 1: overall cost ≤ overall income (at least breakeven)

  5. ORGANIZING TEAM Steering committee: Tony, Lupinglang, Zhangfengand Leixiang Event team: Fred (leader), Domestic mkt exec (marketing topics), Liuyu & Maruide (BPO and Import), Jiangwei (US suppliers), Zhanyong (IT) and Wujun (Admin) External (support should be in kind or in money): US chamber of commerce, American chemistry council, Texas or Houston authority, export.gouv (http://export.gov/industry/index.asp ), and PR companies (US and China), CPCIF (http://www.cpcia.org.cn/ ) and AICM (http://www.aicm.cn/Web_C/ ).

  6. SWOT

  7. TARGET AUDIENCE Profile of potential attendees • Company high leader / GM / CEO • Junior/Senior sales managers / Director • Junior/Senior purchasing managers / Director • BD managers / Director • Marketing managers / Director • Procurement managers / Director • Import and export trade managers / Director • SOHO CEO • Associations representatives • Political heads Attendees Target 1,000 qualified attendees (200 from US and 800 from China)

  8. AGENDA

  9. AGENDA: 1 day scheme Advantages/drawbacks: + Keep people focus + Easier to attract media + Less expensive solution • Difficult to attract US companies if it’s only 1 day event • Program will be short BUDGET (estimate) : 5 million RMB

  10. Possible agenda 1 day scheme • 8 to 9 AM: Attendees badge pickup (online pre-registration will be done to ease the flow) and breakfast • 9 to 12PM: Introduction speech + 4 speeches • 12 PM to 1PM: Lunch • 1 to 1:30PM: sponsors video while waiting people coming back • 1:30 to 2:30 PM: 4 speeches • 3:30 to 4PM: coffee break • 4 to 4:30 PM: Roundtable • 4:30 to 6PM: workshops on outsourcing topics: procurement, distribution, logistics, finance… • 6 to 6:30PM: closing speech • 6:30 to 8 PM: cocktail networking • 8PM: Dinner

  11. AGENDA: 2 days scheme + Going deeper on the subject + More attractive to audience that is going far (easier to justify 2 days program rather than 1 day for travelling abroad) • More expensive and logistically more difficult • Bigger commitment for Chinese companies outside Shanghai which have to take an hotel and be away for 2 days • Probably less people the second day • BUDGET (estimate) : 6.6 million RMB

  12. Possible agenda 2 days scheme (1/2) • 1ST DAY • 8 to 9 AM: Attendees badge pickup (online pre-registration will be done to ease the flow) and breakfast • 9 to 12PM: Introduction speech + 4 speeches • 12 PM to 1PM: Lunch • 1 to 1:30PM: sponsors video while waiting people coming back • 1:30 to 3:30 PM: 4 speeches • 3:30 to 4PM: coffee break • 4 to 4:30 PM: Roundtable • 4:30 to 6PM: 3 speeches • 6 to 6:30PM: closing speech • 6:30 to 8 PM: cocktail networking + sponsor videos in the background • 8PM: Dinner

  13. Possible agenda 2 days scheme (2/2) • 2nd DAY • 8 to 9 AM: Breakfast networking • 9 to 12 PM: Factory visit (Sponsor) • 12 PM to 1 PM: Lunch • 1 to 6PM: For suppliers and customers: workshops (meeting between suppliers, customers and Sunivo) on outsourcing topics: procurement, distribution, logistics, finance… • For officials: Meeting between US and Chinese officials. Media interviews. • 6 to 8 PM: cocktail networking • 8 PM: Dinner

  14. BUDGET

  15. BUDGET The attached budget is an estimate based on the first quotations received and in last summit expenses factored with the expected 1,000 attendees. There is a tab for 1 day and 2 days agenda. This budget is done on worst case scenario (very expensive speakers) and higher price meeting room.

  16. BUDGET DECISION There are lot of options/tweaking to make this event less or more expensive, depending on the ambition of this event: • Choice of premium hotel, gifts and speakers • Renew all our communication tools like in 2012 or not • Free summit or entrance fee > more commitment from attendees • Invite US delegation (accommodation…) or let them finance it • Becoming a sponsored based event > less visibility for Sunivo • Business department will finance the event in their budget or not > more commitment for the organization and ROI tracking

  17. Tips to reduce the costs • Get partnership with hotel providing the meeting room, promote rooms for people who will stay in the hotel and get discount on the overall bill • Find a date with hotel that is less busy, so we can get rebate for the meeting room • Use 2012 communication tools and summit material, just make a reprint with few updates • Besides companies sponsorship: Cocktail can be sponsored by an Alcohol company, breakfast by a bakery…

  18. Incoming (1/2) If this event is fully financed by Sunivo and it’s expected that the deals’ profit will get after the event will cover the expenses. That means that for a 5 million RMB budget estimation, the business should reach at least 50 million RMB (if gross profit is 10%) or 100 million RMB (if gross profit is 5%, which is most likely close to happen) in order to have the ROI at 1 (profit/expenses). > It is possible but my suggestion is that we shouldn’t rely on that only. We better consider other income resources

  19. Incoming (2/2) My suggestion is the following based on 5 million RMB budget: • 500 RMB entrance fee (this is guaranteeing commitment of attendees) 500 RMB x 900 (VIP won’t pay) = 450,000 RMB. For your reference a 2 hours workshop held by 1 man is up to 350 RMB http://cha1n.com/events/cpw12 • Sponsorship: Target should be 1,000,000 RMB in cash or in kind equivalent • Sunivo remains to pay 3,550,000 RMB which can be covered up if the business after the fair reached 71 million RMB turnover (assuming a 5% profit)
