UMass Boston Management Reporting Group • First meeting was held on Wednesday April 3, 2013 • Group Members • Ellen O’Connor – Administration & Finance • Sean McInnis – Administration & Finance • Elizabeth Kilcoyne – Administration & Finance • Susan Wolfe – Office of Budget & Financial Planning • Kathleen Teehan – Enrollment Management • Jennifer Brown – Office of Institutional research • Becky Hsu – Human Resource • Gina Cappello – University Advancement • Anne Scrivener Agee – IT • Terence Phalen – IT • Sample of what the group will discuss • Status of Summit & other reporting projects • Provide guidance and leadership on implementation plans • When do they meet • We will communicate once a month and meet as needed.

Finance & HR Summit Dashboard Updates • All campuses & System Office are using Summit in some fashion • Security is based off of PeopleSoft security (department level security) • UMB Pilot Group (approximately 40 end users) attempts to meet monthly • We have approximately 120 Campus users in our Pilot program • PI Level Security has been addressed and meets the criteria of UMass Boston • Current Dashboard Available to UMB pilot group • Academic Admin – Fully functional • Department Admin – Fully Functional • Fiscal Reporting – Provides us with the opportunity to pull of UMGL7045 (summary report) with parameters on the printouts. • PI – Dashboard built to provide the PI’s with one stop shopping on grants • Transaction Detail Analysis – Provides us with reporting similar to the transaction detail report known on campus as the UMGL7062 / UMGM 7062 • Human Resource Pilot Group is going to be merged into the Finance Pilot Group effective for the June Meeting

  6. Collaboration with Other Campuses • Key Decision Makers--Monthly Calls • KDM (Key Decision Makers) started as a meeting of the Lead Campuses Executive Sponsors - Amherst and Worcester. Campuses added to the governing body as they started to roll out Summit. • The goal of KDM is to govern the direction of the functionality, promote usage and understanding on the campuses and act as mediator in the event that conflicting priorities cannot be resolved at the leads level. • Review project statuses. • New projects over a 40hr effort need to be reviewed at the KDM level for approval. • Resourcing breakdown is discussed at KDM particularly how much to put towards maintenance and how much to put towards new projects. If more resourcing is deemed necessary, it is this group that will take the business case to their respective campus VC of A&F • Summit Leads call is every other week • Technical Upgrade to new 11G system took place in April 2013. Upgrade provided us with a little sleeker look to the summit application

Management Reporting Next Steps Initial “Go-Live” date for Human Resources and Finance dashboards is schedule for November 2013 Addition of Summit Security is now limited until we get closer to “Go-Live” We have renewed the contract for FAIR until December 2013 We will continue with the pilot group meeting each month and provide feedback to the “Summit Leads”
