  2. Challenges • Period G data spans multiple school years • Graduates from 2008-2009 • Summer Graduates normally reported in 2009-2010 • Presents unique issues as EMIS reporting periods have never crossed school years before • Bulk of preparation done in FY09

Period G in DASL • What gets reported? • Core Summary Records indicating total credits earned in subject area • Based on courses where high school credit is earned • Credit earned in Courses taken at • the home district regardless of building • at the JVS • at Post Secondary • at another District

  4. Period G in DASL • Student demographics • FN graduate information • Diploma Date • Diploma Type • OGT Graduation Alternative • Core Economics and Financial Literacy Requirement met • Core Fine Arts Requirement met • PE Exempt • SSID based on ID on last FS record of the school year

DASL Period G Process • Core Subject Area • Based on combination of EMIS Subject code & hours of instruction • Crosswalk provided by Office of Curriculum • Crosswalk is only “suggested” core subject areas based on EMIS subject code • Ultimately district’s decision • Crosswalk can be used to assist district staff in mass update task

  9. Step #2. Select School years, sorting options and courses from the filtered list to update

Update Courses Tips • Update current year first and select all years available to update • Change context back to prior school year(s) to ensure that courses that were active in the past but not in the current year are updated • Make sure “is high school credit” is flagged on courses where credit is earned

  12. Update Course Tips • Use Course Curriculum (CRSE) report to verify course updates • Select the following fields to display to verify • Credit Units • EMIS Subject Code • Hours of Instruction • Is High School Credit

  16. Update Manual Course History • Manual Course History Records Update Home  » Management  » Ad-Hoc Updates  » Bulk Update Manual Course Core Subj Area • Bulk update Core Subject Code for courses transferred in from other schools

  20. Step #4: Choose courses to update from filtered list

  21. Step #5: View summary of courses updated and select others from the list to update

Manual Course History Update Tips • Try to group like courses together as much as possible when selecting records to update • Make sure “Is high school credit” is checked on all Manual course history records where HS credit is earned • Work with manual course history records from the same entity

  23. Manual Course History Update Tips • JVS may update records before transferring to home school • If you want to change Core Subject Area assigned to those courses, uncheck the box • Display will show courses with Core Subject Code already assigned

  24. DASL Period G Process • JVS Export • Updated to send EMIS Subject Code, Subject Area for Credit and Core Subject Code • JVS Import • Updated to receive EMIS field values necessary to determine core

  25. Verify Manual Course History Updates • Use the Same Verify Process as for Course records • Select Student Verify Option

  26. Verify Student Option • Interactive Error page links to manual course history records that still need to be updated with a Core Subject Code • Sum of earned credits link takes you to Student Course History to check credits earned

Update Process • Update process will create student core summary records Home  » EMIS  » Graduate Reporting Period (G)  » Graduate CORE Summary Verify / Update • Must have district in Context – 2008-2009 school year • One record created per core subject area where high school credit is earned

Student Profile Bulk Update • Use Student Profile bulk update to mass update new Core fields on FN Graduate Home  » Management  » Ad-Hoc Updates  » Student Profile Bulk Update • Update Core Economics & Fin. Literacy Requirement Met • Update Core Fine Arts Requirement Met • Update Exempted from PE Graduation Requirement Met • Ad-hoc memberships will be used for mass updates

  32. Graduate/Summer OGT Records • OGT Test records for graduates reported in period G (verification checks to be added) • Records for summer graduates also reported in period G • Verify process will make sure all graduates have the necessary records

  33. OGT Assessment Transfer • OGT Assessment Transfer process Home  » EMIS  » Graduate Reporting Period (G)  » Graduate/Summer OGT Transfer • Includes graduates from 2008-2009 • Includes summer grads that have a demographic record in 2009-2010 but have graduated prior to the first day of school

  34. Review District EMIS Run Requests • Like CHECK_EMIS for other periods • Checks • History of processes run • Processes run too early • Updates run but not transferred • Transfer not run at all • Optional date prompt to exclude runs prior to a specific date
