Using Excel to: Find/Collect/Chart Data Excel can provide a user friendly template for entering assessment data in the “Lead & Learn” suggested format: • Collecting & Charting Data for DT • Collecting & charting data involves simple calculations of percentages per class and in total. Excel offers a uniform template as well as simple formulas to instantly compute percentages and totals. Cells are formatted to “wrap text” as necessary. • Organizing Data for DDDM • Excel offers the ability to use an electronic template in which to input assessment data. At this point in DDDM, no calculations are necessary so this is strictly a template for entering data. Cells are formatted to “wrap text” as necessary.

Using Excel to: Analyze Data & Prioritize Needs • Analyzing Strengths & Obstacles for DT • Using this Excel workbook, the # of students proficient(or not) is automatically transferred into the Strengths & Obstacles form. By entering your observations in this form, you can count, filter, and sort characteristics. • Analyzing Data & Prioritizing Needs for DDDM • Excel offers the ability to use an electronic template in which to input analysis of data. Areas of concern can be prioritized quickly using the sort function.

Using Excel to: Establish Goals and Select Instructional Strategies • Establishing Goals and Selecting Strategies for DT • Setting Annual Goals and Identifying Strategies for DDDM • Excel offers the ability to use an electronic template in which to set goals using the suggested SMART goal format and identify strategies to meet these goals.

Using Excel to: Determine Results Indicators • Results Indicators for DT • Results Indicators for DDDM • When determining Results Indicators, you are essentially deciding on what uniform evidence you should see between meetings that verify that the strategies you’ve selected are being implemented and are effective.

  8. Everyday Data Collection • What types of data do you collect in your classroom? • Why do you collect that data? • How can you use that data to teach more effectively?

  9. Formulas/Functions you need to know • This icon will assist you with the most often used formulas • =sum(CR:CR) • =average(CR:CR) • Percentage: • =CR/total # • Then click Note: “CR” = Column # Row # For Example: A1 Column A, Row 1

Sort Function • Select a column of alphanumeric data in a range of cells. • Go to the Home tab, in the Editing group, and then click Sort & Filter. • Do one of the following: • To sort in ascending alphanumeric order, click Sort A to Z. • To sort in descending alphanumeric order, click Sort Z to A. • You can also do a customized sort as you become more skilled.

Filter Function • Range of cells • Select a range of cells containing numeric data. • On the Home tab, in the Editing group, click Sort & Filter, and then click Filter. • Click the arrow in the column header. • Select from the list of numbers/text • In the list, select or clear one or more numbers to filter by. A list of numbers can be up to 10,000. If the list is large, clear (Select All) at the top, and then select the specific number/text to filter by.

Graphing Data • Arrange the data that you want to plot in a chart. • Select the cells that contain the data that you want to chart. • On the Insert tab, in the Charts group, do one of the following: • Click the chart type, and then click a chart subtype that you want to use. • To see all available chart types, click a chart type, and then click All Chart Types to display the Insert Chart dialog box, click the arrows to scroll through all available chart types and chart subtypes, and then click the ones that you want to use. **This is not always instinctive, and will take some practice.

  13. Let’s work together to apply these skills! Input real data from your class or grade level into an Excel sheet. Be sure to label rows and columns appropriately. Do you want to leave columns for specific formulas? Manipulate your data by sorting & filtering. Graph your data!
