  4. PeopleSoft Login – The Employer’s Representative who will be signing the I-9 for the company logs into PeopleSoft.

  5. Home page - This is the ePAF home page for this user. This allows users to create, view and edit ePAF™ forms.

  6. New ePAF – The employee representative selects the “Create an I-9 Form” option below.

  7. Select An Employee – The Employer’s Representative uses search criteria to look up the new employee and selects the appropriate new employee.

  8. Create an I-9 – The Employer’s Representative turns the keyboard over to the new employee to complete Section 1. You can configure which fields default and which can be edited. Per regulations, a hyperlink to the I-9 instructions is provided.

  9. Create an I-9 – The Form I-9 instructions are available throughout the process in PDF format.

  10. Attest to Employment Status – The new employee must attest to their eligibility to work. If their answer requires additional information, those fields are displayed and activated.

  11. New Employee Electronic Signature – The new employee then clicks the signature button and is presented with the Electronic Signature page. They type in their Userid and Password and click Sign.

  12. Completed Section 1 – After Section 1 is signed by the new employee, all fields in the section become read only, and a graphical icon, representing their signature, is displayed. They click Next to continue.

  13. Preparer Certification – This verifies whether or not the preparer of Section 1 was a person other than the new employee. If no preparer or translator was involved, the system goes straight to Section 2. In this demonstration, the Preparer section will be completed.

  14. Preparer Certification – The Preparer enters their information into the appropriate boxes and clicks the button to sign.

  15. Preparer Certification – After the Preparer has entered his or her user ID and password, the information becomes read only and a signature icon is displayed.

  16. Section 2 – The Employer’s Representative again takes the keyboard and must verify via official documents the new employee’s eligibility. The Search Icon brings up a list of the acceptable documents.

  17. Document List – This is the list of valid documents for List A.

  18. Section 2 – After choosing the appropriate documents and filling in the Document # and Issuing Authority, the Employer’s Representative has the option of attaching a scanned image of that document.

  19. Attaching Document – The document name is automatically populated for that document type. Click upload to find the appropriate image.

  20. Attaching Document – Browse the file system to find the scanned image.

  21. Attaching Document – After uploading the file, the View button becomes available to allow visual inspection of the image.

  22. Attaching Document – The visual images are displayed via the default file viewer on the local machine for that file type.

  23. Section 2 – After completing Section 2, the Employer’s Representative electronically signs the document. All items become read-only and the signature icon is displayed. Click Next to complete the I-9 Form.

  24. Finalizing the Form – Federal regulations require that the signatories be given a printed receipt.

  26. Printing Signatory Receipts – Hit the Print button to print the receipts and distribute them to the signatories.

  27. Finalizing the Form – In order to complete the I-9 process, you must check that you have in fact printed the receipt.

  28. Completed Form – Notification that the form was finalized and successfully completed is displayed on the screen. If workflow routing is set up for the form, it will also display the role the form has been routed to.

  29. Viewing Completed Form – Authorized employees may view completed I-9 forms. An record of each view of the form is tracked in the audit log per government regulations.
