  11. HALL TICKET NUMBER GENERATION Key for allotting Roll Numbers/Hall Ticket Numbers for the I year B.Pharm Students admitted, is given below. The Roll Number & Hall Ticket Number are same. The Code adopted is 10 Character length

CLEARANCE of admissions Schedule for clearance of admissions 12th Oct for LES Furnish the necessary documents in person on the specified date No admission after 4 weeks in the case of semester course No admission after 8 weeks in the case of year course Remit University student registration fee (USRF) in time

  15. Conduct of Mid-term Examinations Stick to the schedule given in the academic calendar Conduct examinations both in forenoon and afternoon sessions Complete the examinations in four days for First Year Take 5 more days for valuation and reconciliation with students

  16. Conduct of Midterm Examinations contd.. Upload the mid term marks of objective and subjective tests of each subject within 5 days of the completion of the last examination. For subjective tests the institutions are required to conduct by setting a question paper by the subject teacher.

  17. Practical examinations Conduct Internal examinations for practicals during last spell of instruction days in the respective laboratory class time tables. University practical Examinations under the supervision of Principal with external examiner Adhere to the time schedule given in the academic calendar

  20. ISSUE OF HALL TICKETS NO Hall Ticket - without detention list Notification for Nov 2010 examinations – issued already ( in the portal and website).

  21. ISSUE OF HALL TICKETS Principals/ Chief superintendents to check the clearance of admission, eligibility criteria with respect to credits and attendance before issuing the hall ticket to the candidates.

Transfer of students • Whenever a student is seeking transfer of college • Check the promotion status • Take a letter from previous college, certifying he/she was not detained in the previous semester. • Ensure online registration is done at your college • Ensure down load of Hall ticket • Ensure submission of sessional marks is done using excel templates upload only

D-form upload • Upload during last one hour of exam • Do not miss to upload • It has lot of impact even if one college do not upload in time or miss to upload. • Total present/absent can not be finalized. • Wrong upload-present in D-form for absent candidate --cross check with answer scripts • Impact: Abnormal delay in declaration of result even after completion of valuation.

  25. Upload of sessional marks First & Second cycle after 5 days of last exam. Download all finalized marks. Display in the notice board Allow 3 days for verification Any change should be brought to the notice of exam branch No correction in sessional marks after result declaration. Ensure that marks are uploaded from your college

  26. USRF • Adhere to the schedules for payment of USRF – University Student Registration Fee • Rs. 2500/- per Candidate for First year • Rs. 1500/- per Candidate for Second & Third years • Rs. 1500/- per Candidate for LES of Fourth year • Last date for payment is postponed to 30-09-2010

  29. EDEP – Training EDEP (Electronic Distribution of Examination Papers) One high-end desk-top computer with minimum of 1 GB RAM Biometric finger print capturing unit Finger prints of all students of final year must be uploaded during February – 2011 RFID Degree Certificates to all students

TRAINING ON EDEP Depute the system administrator of your institution along with a CPU Each college is provided with a distinctive login ID and password The software required for EDEP is loaded into the CPU The administrator is trained by SDC Programmers to work on EDEP Date of training will be intimated shortly through portal

  31. CONDUCT OF EDEP SYSTEM OF EXAM The relevant encrypted question papers (day-wise) will be uploaded through internet, before commencement of the examinations. Download the encrypted question papers into the “ Exclusive Examination Computer System”.

  32. CONDUCT OF E D E P SYSTEM OF EXAM (contd…) Release of Password for decryption through Examination Portal, 30mins. before commencement of examination. Decrypt the question papers using password Get print copies of each set of Question Paper Prepare sufficient number of photo-copies of question papers. Obtain the starting set number in each room from portal, 10mins before start of Exam.

CONDUCT OF EXAMINATIONS In case of any problem, report to University examination Branch Obtaining question papers/password from other institutions is strictly prohibited Cell Phones and other electronic gadgets except calculators are strictly prohibited in the examination halls and possession of these come under malpractice case

Ensure smooth conduct of examinations Observers to follow all the given instructions Special squad visits the Examination centers Any malpractice cases noticed by squad will be viewed seriously to the extent of cancellation of centers Pack the answer books and part 1 in the presence of observers Arrange to send the answer books immediately

  40. SPOT VALUATION All Principals are requested to depute faculty for spot valuation Minimum Five years Experience desirable for valuers At least Three years Experience in certain subjects is must. Must have taught the subject at least once for taking up valuation in a particular subject

  41. SPOT VALUATION Instructions to the valuers, chief examiners available in the Portal. Co-operation from the spot centers is solicited to stick to the schedules notified for valuation More spot centers proposed for this year

  44. Best Practices for Evaluation • The nodal centres along with identified spot centres carry out this “Noble task”. • The valuation has to be done by teachers with strong moral values. • An invitation to the teacher to be involved in valuation and becoming part of a confidential team of the University but not for a source of earning of Rs. 12/- per script. • The teacher should feel proud of being identified in a trust worthy team and discharge his/her duty with utmost sincerity honesty and uniformity. • This will solve many problems of exam branch.

  45. REMUNERATION FOR EXAMINATIONS Theory and Practical Examinations ---- as per University rules in Vogue External examiner compulsory for conducting practical examinations The expenditure for the above may be met from the examination fee amount retained by the colleges (recently enhanced to Rs.200/- per candidate)

Finally, Request to all the chief superintendents to strictly adhere to • Utmost confidentiality • timely download of EDEP file • use of high speed copiers • prevent any pilferage of question papers • distribute correct set number in exam halls • Malpractice free examinations • timely upload of D-form • verify and bundle correct set number-wise scripts • verify correct bubbling of data by students • issue correct pre-printed answer books • dispatch the answer script bundles in time • draft senior teachers as hall invigilators • select appropriate OIE’s and system administrators
