Lehigh University 4,720 Undergraduate students with a freshman to sophomore retention rate of more than 94% and a GRR greater than 85%. 2,117 Graduate students of which 1,363 are part time or distance education Advising and communication between academic support staff is critical to our mission success THANKS TO JOE DIMARTILE AT UNIVERSITY OF DELAWARE We used the model from UD but this is very specific to Lehigh University

  4. Tables used or Created • SININST_ADVR_IND = “Y” with System error message on access if this value not set. • SIBINST_FCTG_CODE = “ADVCMT” for non faculty advisers, no change for faculty • SIRDPCL_COLL_CODE AND SIRDPCL_DEPT_CODE copied to SIRATTR_FATT_CODE for security grouping

  5. More Tables • STVFATT for attributes that may be assigned to roles. All STVCOLL, STVDEPT and plus designed codes for Dean of Students (3 groups), Athletics, Registrar, DARS, advising interdepartmental/intercollegiate programs, ALL

  6. Still More Tables • SIRATTR populated with all relevant codes from STVCOLL and STVDEPT SIRATTR populated with all relevant codes from STVCOLL and STVDEPT • New tables SWVMTYP Meeting Type values and SWRNOTE for security, note, and date/time stamp. • Unique identifier = stupidm, advpidm, and date/time

Response Text • System generated by circumstances of user and action requested • Each time a Faculty member saves, edits or changes access and submits a confirmation message is generated. • If system access is denied the user is directed to the Registrar • If no Access is granted it is assumed to be a sole possession note.

  8. Response Text • The system is LIN/PIN protected therefore meets FERPA and Safe Harbor Standards • Once shared no longer considered Sole Possession. Explained during training and in documentation (to be created)

  9. Proposal (cont.) • Record appointments the results and if the student did not show for the appointment • Record meeting by type of advisement. • Adviser Notes menu available by as few clicks as possible

  10. Security • Based on values established in a manually created record and attribute in SIRATTR. We went with a function rather than fine grain access control. • We created adviser, NOT FACULTY, records for staff with access • OIR needed to know to make sure faculty reports are not effected.
