  2. Topics • Collecting • Organising • Analysing • Storing and Retrieving • Processing • Transmitting and Receiving • Displaying

  3. Collecting • the process by which data is entered into or captured by a computer system, including: • Full name, D.O.B, Address, I.D Picture, Mobile number, etc. • When you apply for your licence you fill out a form where they get the relevant information • It is encoded by data operators (data enterers)

  4. Organising • The process by which data is structured into a form appropriate for the use of other information processes such as the format in which data will be represented. • We used Microsoft Access as well as Microsoft Excel to organise the data and information for the various components of the project • These two pieces of software were working in tandem to organise the data in tables and then import the tables from Excel into Access for later processing and analysing.

  5. Analysing • the process by which data is interpreted, transforming it into information • We analysed that it was necessary to include data such as personal information e.g. full name, date of birth, address, etc. • As well as their progression in obtaining their full license e.g. whether they are on L-plates or P-plates, when they applied for their plates, and when they have booked their driving test. • After it had been collected and organised we had it lain out in tables.

  6. Storing and Retrieving • The process by which data and information is saved and accessed later • The data is stored within a domestic server • It is also backed up every hour at an off site server. • The server hardware also contains software such as firewalls, malware and spyware protectors which prevents the system from information leaks • The data has limited access by staff to prevent ethical issues such as information leaks

  7. Processing • A procedure that manipulates data and information • The data from the tables is processed into information and presented in forms and reports in our database • The logo was processed in Photoshop • The table data was calculated using the sums in excel.

  8. Transmitting and Receiving • The process that sends and receives data and information within and beyond information systems • The information is being transmitted and received over the internet so it is accessible from a number of computers, in a number of locations • This makes the system more accessible for all users

  9. Displaying • The process that controls the format of information presented to the participant or user • Each element of the project is displayed through a computer screen except for the flyers and the logo which are both printable. • Some examples will follow:

  10. Context Diagram The workforce who maintain or develop the system. The beginner driver system Purposes To store participants information in the system and follow their progression in obtaining their license. Processes Collecting the participants data, organising the data into table, analysing the data into information on queries, it is stored and retrieved on a server, processing data and information into forms and reports, the information is able to be transmitted and received over the inter web, and is displayed on a computer screen or printout. Resources • Information Technology: • Server • Computer(including necessary software and hardware) • Participants: • Drivers • operators • Data/Information: • Personal information from drivers Boundary
