  1. What is it? • Software application that allow user to: • Import Data into Biotics • Export Data out of Biotics • Developed internally by NatureServe staff • 3rd component of Biotics Trinity • Mapper, Tracker, Exchanger • Network rollout/installation in progress

  2. How can I use it? • Annual Data Exchange with NatureServe • Code Requests from NatureServe • Data transfers between NHPs (Biotics format) • Future Uses – Generic Import/Export • Field Form Data in Access format, etc

  3. Database Details… • File Transfer Format: XML • Functional transfers • Biotics-Biotics • BCD-Biotics • Prototype (not yet supported) transfers • Access-Biotics

  4. Exporting Data • User can choose (using SQL or working lists): • Records to export • Fields to export • Export template: User can save common export tasks as a project for re-use • Exporting data to NatureServe for Data Exchange

  6. Loading Process • User loads incoming data into “holding area”: • Tables in Biotics 4 database • Exchanger compares records in holding area (incoming) against records in Biotics database (target) • Incoming Data Loaded as Project • Project properties • Purging Projects

  7. Matching Process • Generic matching • Alternate Keys • Universal Keys • Specialized matching • Scientific Name matcher: Scientific Name + Author Name • Element Matcher: ELCODE + Scientific Name

  8. Matching Statuses • Pending • Matched • New • NoMatch • Partial Match • Manually Matched • Reject • Fail

  9. Applying Rules Process • Tool applies user-defined import rules: • Rules applied at record level or field level • Example 1: Accept all NEW records • Example 2: Reject all <null> GRANKs • Example 3: Accept all newer GRANKs • User can configure rules to be as simple or complex as needed

  10. Apply Rules Process • Assigns Import Status: • Pending • Rules_Flag • CommitReady • Rules_Fail • Reject • Flags records for user review

  11. Commit Process • Only step that actually changes records in target database • Records must have completed match and import rule status before commit • Commit is non-reversible
