  2. Goals for this presentation • Review temperature monitoring procedures and requirements • Understand the process of downloading data from data loggers • Clarify sending data from the data loggers Vermont Department of Health

Temperature monitoring • In addition to the continuous data logger temperature monitoring you must check and record temperatures twice a day (morning and afternoon) on the paper temperature log. •  You must check and record Min/Max once a day in the morning by pressing the “Review/Mark” button. You need to press the same button multiple times to display Min/Max for previous 24 hour period. • Call the Immunization Program when: • Current temperature is out of range • Min/Max is out of range • Alarm is displayed on data logger Vermont Department of Health

  4. Alarm • The alarm is not audible!!! • The icon will display when temperature goes out of range and immediate action needs to be taken • Immediately contact the Immunization Program • The only way to remove the alarm from display is to download the information Vermont Department of Health

Downloading data logger • Select a day of the week to download the data • Assign a backup person so that the task is done every week • Your practice is the only one to see your data logger information- it does not transmit to the central office unless you download and email it to ahs.vdhimmunizationprogram@vermont.gov • After each download review the tab called “Day Summary” to assure that your vaccine storage unit has been keeping temperatures in range • Call the Immunization Program if you discover out of range temperatures Vermont Department of Health

Downloading instructions • Open the program from your desktop by clicking on “LogTag Analyzer” icon • Go to the fridge/freezer and on the data logger, press the (Review/Mark) button to pause recording • The data logger will display “PAUSED” icon to indicate that recording has been paused. Downloading instructions cont. • When the “PAUSED” icon is displayed, unplug the data logger from the cable and bring the data logger to the LogTag Cradle at your computer • Insert the data logger into the cradle facing forward. You will see the pop-up showing data downloading Vermont Department of Health

  8. Downloading instructions cont. • After that you will see the pop-up message shown to the right . Click “Continue”. The data logger will re-configure when you click “Continue”. • This pop-up indicates the data logger has been re-configured and is ready to start recording again click OK Vermont Department of Health

Downloading instructions cont. • The data will automatically be downloaded into the folder you chose during the software installation and saved • View Report, Chart, Data, Summary and Day Summary by clicking on the tabs along the bottom of the chart that displays. • The data logger has been re-configured, when the “Ready” icon is displayed.   10. Downloading instructions cont. • You can remove the data logger is removed from the cradle and return it to the vaccine storage unit. Make sure to return it to the refrigerator or freezer to which it is assigned. • Plug in the cord that is connected to the glycol bottle. Vermont Department of Health

  11. Downloading instructions cont. • Press and hold the start button for 4-6 seconds until “Starting” icon stops flashing. Follow instructions at the right to start the data logger. Vermont Department of Health

Sending data from data logger • If you discover out of range temperature you will need to send the data logger file to the Immunization Program and to do this: • All email programs have a paperclip icon, the universal image for attachments in email. • Open a new email message window, by clicking the “New Message” or “Compose Email” icon or the CTRL+N keyboard shortcut.   13. Sending data from data logger • Click on the icon that says “Attach a file” or something similar. A pop-up window will appear that displays the computer’s folders and files. • Browse through the computer’s folders to locate the “Data Logger Downloads” folder (typically housed on the desktop) or “My Logtag Data” and click to select the files you want to attach. Always attach a .ltd (log tag file) not PDF. Vermont Department of Health

  14. Sending data from data logger • Please Note: Downloaded files are typically found on the desktop. If you cannot locate the folder on the desktop, click “Start”. Select “Search programs and files” and type in “My Logtag data” and press enter. The location of the folder should appear. Return to the email program and repeat previous steps. • Downloaded files are organized by serial number followed by starting date to finish date for each data logger and are sequential example: • Click “Open”, “Choose File” or another similar button to attach the file to the email. • Compose your email (address it to ahs.vdhimmunizationprogram@Vermont.gov) and click “Send”.
