Student Organization Raffles Purpose of Training • UW-River Falls holds a raffle license from the State of Wisconsin that can be used by organizations and other campus groups to conduct raffles as fundraisers • In order to continue in good standing with the State, precise rules and regulations must be followed and good records must be kept • For these reasons, it is required that in order to hold a raffle, a member of your organization must attend training OR complete this PowerPoint presentation

Student Organization Raffles Applying for a Raffle • In order to hold a raffle, complete and submit a Raffle Request Form • The form includes a quiz with questions from this training • Once received by the department of Student Life, forms can take two weeks to be approved. Please apply early!

Student Organization Raffles Applying for a Raffle, cont. • Upon approval, the sponsoring organization will be given: • a copy of the approved application • a copy of the raffle license • a list of important reminders • a raffle summary sheet, and • an envelope to hold used and unused raffle tickets and receipts for expenses • NOTE: The copies of both the approved application and the license must be displayed at the drawing

  6. Student Organization Raffles Rules and Regulations Only Class A raffle tickets are acceptable. Class A raffle tickets contain: • The license number • The name and address of the sponsoring organization • The price of the ticket (and the discounted price for buying multiple, if any) • A place for the purchaser to enter his/her name and address • The date, time and place of the drawing or drawings • A list of all prizes to be offered which have a retail value exceeding $500 • A number, on both the purchaser’s ticket and the organization’s ticket, listed consecutively • Tickets cannot be numbered by hand

  7. Student Organization Raffles Class A Raffle Tickets Graphics & Marketing in the Involvement Center have experience making Class A raffle tickets. Seek them out for assistance.

  8. Student Organization Raffles Conducting the Raffle • Tickets may not be sold more than 270 days before the raffle drawing • No ticket may exceed $100 in cost • All drawings must be held in public • All prizes must be awarded • The purchaser of the ticket does not need to be present to win • If a raffle drawing is canceled, all money from purchased tickets must be refunded • A list of all prizes must be provided to any purchaser who requests one

Student Organization Raffles During Ticket Sales • All money from ticket sales must be deposited into the conducting organization’s State Treasury Account using account code 9200. • No money from ticket sales can be used directly to purchase prizes or anything other items…it must first be deposited into the State Treasury Account and then money must be drawn from the same account to be used for expenses. • These must be TWO separate transactions. • It is required that money from sales be deposited once/each week or whenever $100 is collected (whichever comes first)

Student Organization Raffles After the Raffle • Complete the summary sheet included in the packet received with the approved application • Include in the envelope: • All receipts (or copies) for all expenses for printing of tickets, advertising and prizes • All tickets (both sold and unsold) printed • Physically count tickets at least twice to ensure that the numbers of tickets listed on the summary sheet matches the number included in the envelope • The copies of both the license and the approve application • Submit all materials to the Front Desk of the Involvement Center

  11. Student Organization Raffles Additional Information • Any organization which fails to complete any of the required paperwork or submit all tickets will forfeit their ability to use the raffle license for a period of 12 months • The University reserves the right to deny a raffle application for any reason or to revoke use of the raffle license at any time
