  1. Secretary of State PCC Project Status Partnerships

  2. Introduction The Secretary of State’s Office and RecordFusion have begun implementation of the new URLP project by configuring and installing servers for the new application at the SOS. The application was completed June 30, 2009, however, UAT will continue throughout the month of July. Production ready in August 2009.

  3. Partnership Project On the week of June 22nd two major concerns surfaced: • First, the parallel security assessment project slowed telecommunications throughout the week. • Secondly, a total network shutdown and rebuilding of the SOS network infrastructure halted productivity of the project as e-mail and other computer based business functions came to a stand-still. • Core Module deliverable is 100% complete • UAT is 100% complete • Data Migration is 90% complete

  4. Online System Availability • RecordFusion project team will be in the SOS Office the week of July 20th to continue testing and enhance customization features on the workstations dedicated for this project. • RecordFusion will provide “As-Delivered Documents” at the final acceptance and prior to deployment. • Virtual Private Network (VPN) has been restored and configured to provide RecordFusion remote access.

  5. Ongoing Items Status of Deliverables / Timelines • Database parameter-based set up for NMSOS requirements is complete. • Data Conversion tasks were completed by June 30,2009. • Completion of the JAVA based web front end for external users is slated for completion on July 31, 2009.

  6. Ongoing Items Training • Training was conducted on June 29th & 30th Testing Status • Testing begun on June 29th and continues until the system has been accepted and is production ready.

  7. Ongoing Items Funding / Spending-The expenses incurred so far, for the Partnership Project are as follows: • Record Fusion (Partnership software & maintenance/support) $126,443.00 • POD Assoc. Inc. (IV&V) $6000.00 • Abba Tech (Server) $5,090.52 • Juniper Secure Services $5,736.54 • (Firewalls) and Hardware $6,729.94

  8. Issues / IV&V • IV&V kickoff occurred on June 16, 2009, and this report addressed documents reviewed and project team discussions through June 24th. With such a short timeline, IV&V reviewed and reported on project activities incrementally through June 30th.

  9. Successes • Addressing and resolving a potentially project-stopping issue when the network failed. • Receiving and installing the hardware for project deployment. • Managing parallel projects (security assessment) simultaneous with this project. • RecordFusion reporting completion of database table settings, progress on data conversion and preparedness for training, testing and task was completed on June 29th and 30th. • Completed software testing phase on July 17, 2009. • Data conversion testing is currently being tested; scheduled to be completed by July 24, 2009. • Training is scheduled to be competed on July 24, 2009. The IV&V report stated: • The project team and PM are managing issues, albeit with short term, reactive approach. • Keeping a high level focus of the overall objective to drive daily project activities. • High degree of commitment, involvement, communication and coordination by the project manager and the project team (both NMSOS and Record Fusion). • The team sustains a positive momentum. • The vendor is contracted for post-project support and maintenance.
