IBM SCPM PIT Data Download/Upload

You can upload and download PIT data via the Upload/Download sub-tree in IBM SCPM. The system downloads PIT data in flat file format, which can be viewed and updated in a text editor or spreadsheet application. After updating the file, you can upload the updated PIT data to SCPM. Download and upload file formats include SCPM Relational and IBM Spreadsheet.

PIT Data Download/Upload • You upload and download PIT data via the Upload/Download sub-tree: • To upload a file you click Upload File(s) • To download a file you click Download File(s) • The system downloads PIT data in flat file format • You can view and update downloaded PIT data in a text editor, spreadsheet application or, for certain data measures, the Excel SCPM Macro tool • After you have updated and saved the file, you can upload the update PIT data to SCPM 1 2

Download/Upload File Formats • You can download data in several file formats: • SCPM Relational • Vertical view of data (shows dates in a column with one date per row) • Summary of all forecasts for a given collab and date • Default view • Cannot upload in spreadsheet format • IBM Spreadsheet • Horizontal view of data (shows dates in a row with one date per column) • For use with the Forecast Macro Tool • Downloads in vertical format. The macro tool converts it to horizontal format • Very detailed view • Sub-totals by Subgeo, PO, POLine

Downloading PIT Data • To download PIT data you: • Create the file on the Server • Select the format for the download. • Select the collaborations to download. • Initiate the data gathering process. • Download the File to your hard drive • Check the status of the data gathering process. • Save the file to your computer.

Selecting Data to Download • From the Navigation Tree, click the [+] icon left of Upload /Download. • Click Download Files to access the File Download page. • Use the Calendar icons to select the download date range. • From the File Format menu, choose the file format you want. • From the Data Measure Selection box, click the data measures you want. Tip: Use Ctrl+Click to select more than one data measure. • From the Timeline Pattern menu, choose the appropriate Hybrid View. Note: If the Filter Parameters page shows “No entries found” for the Mfg. Line, then you selected the wrong start day. Go back and reselect the correct start day. • Click the Next button to access the Filter Parameters page. 3 5 4 1 6 7 2

  13. Downloading the Data to Your Machine • Click the Reference column link for your download to access the output flat file. • Use your operating system’s functionality to download the file to your machine. 1 2

Working Offline • If you plan to upload changes, it is recommended that you work with a downloaded Collab data file using the IBM Spreadsheet Macro Tool to ensure that the data format is preserved and will properly read back into SCPM • The date format for downloaded Collab data is MMDDYYYYHHMMSS, (Month Day Year Hour Minutes Seconds). If the downloaded Collab data file is opened directly into Microsoft Excel, the ‘General’ cell format will convert the date into a scientific number, e.g. 1.01+E13, which will cause a failure when the file is uploaded. To manually work around this, either: • Set the date cells to the ‘Number’ format with Decimal Points = 0, or • Set the date cells to the ‘Text’ format and copy & paste the dates from the downloaded Collab data file

Working Offline without the Macro Tool • Open the downloaded Collab data file with a text editor such as Microsoft Notepad or WordPad • Menu Edit } Select All • Menu Edit } Copy • Start Microsoft Excel with a new worksheet • Press both Ctrl + A keys to select all worksheet cells • Menu Format } Cells… • In the Category column, choose Text, and click the OK button • Click cell A1 • Menu Edit } Paste • To Commit to all Forecast, Order Book, or Proposal data, menu Edit } Replace… • Set Find what: = Forecast (or Order Book or Proposal) • Set Replace with: = Commitment, and click the Replace All button • Menu File } Save • In the Save As window, set Save as Type = Text (Tab delimited) • Enter a File name, and click the Save button • Menu File } Quit Microsoft Excel • Menu File } Quit your text editor

  18. Uploading PIT Data • To upload PIT Data you: • Select the file to upload. • Ordinary users only have access to IBM Spreadsheet • Admin has access to Relational. • Initiate the upload. • Check the status of the upload.

Selecting Data to Upload • From the Navigation Tree, click the [+] icon left of Upload/Download. • Click Upload Files to access the File Upload page. • At the File Upload page, click the POINT_IN_TIME option button. • From the File Format menu, click the file format you want. • Click the Browse button to navigate to and select the file you want to upload. • Click the Upload button to access the Upload Status page. 3 4 1 5 2 6

  25. SCPM Forecast Macro Tool • A Microsoft Excel-based macro-driven spreadsheet • Based on your SCPM role permissions, it enables you to work offline with previously-downloaded data measures: 1. Forecast 4. Proposal 2. Commitment 5. Commodity Risk 3. Order Book 6. RSC Stock • Displays the SCPM data in IBM “horizontal” format that includes: • Collaboration Dimensions, Data Measures and Time Buckets • Attribute data including SubGeo and Order Type or Document Number • Allows users to save updates to Forecast, Commitment, or CRA data as SCPM-format flat files, in preparation for upload to SCPM

  26. 1 5 2 4 E2open SCPM 3 Process Flow • There are five steps you complete when using the tool: • Download SCPM-format flat file data from SCPM • Load the data files to the tool • (converts vertical to horizontal) • View and update the data in the tool • Save the updated data • (converts horizontal to vertical) • Upload the flat file data to SCPM

  30. Starting the Macro • When you open the tool, Excel presents the Tool Splash Screen • Click the Open DownloadFile button 1

  31. Uploading Data to Tool • At the Open File dialog box, select the SCPM flat files you want to upload to the Tool. • Click the Open button to upload the files to the Tool. Note: You can press the <ESC> key to cancel the upload process. 1 2

  33. Tool Display • After the tool finishes converting the SCPM-format flat files to IBM “horizontal” format, it displays the data and tool functions in a second Excel tab

  35. Input Modifiers B A • The Input Modifier section displays the Input Modifiers you selected: • Operation – the File Upload Type (Load or Update), it is modifiable • Delta Options – the Calculated Delta method and Include RSC Stock option, both are modifiable

  45. Saving Macro Data

Saving Forecast, Commit, and CRA Data • Clicking the Save Forecast, Save Commit, Save CRA, Save Order Book, or Save RSC Stock button prompts the tool to save the Forecast (A), Commit (B), Commodity Risk (C), Order Book (D), or RSC Stock (E) data as an SCPM format flat file. Note: Each of these is a separate file that you have to upload. E A D B C

Saving Forecast, Commit, and CRA Data • When you click a Save button, the tool first converts the data to SCPM-format before displaying the Save As dialog box • At the Save As dialog box appears, enter the file name for the new file and click the Save button. • When you are ready, you can use the SCPM Upload feature to upload the data to the system. Note: SCPM will only let you upload data measures that your role has permission to update. Work In Progress Tip At any time, you can save the macro tool and data you are working with by following the Menu Path: FileSave As. You must save the file as an Excel format and the file name must be less than 25 characters. 1
