Student History • Student History is created for every PEIMS event • ARD date • FIE date • Campus change • Semester change • SEM purpose is for archiving information from ARDs • Last year IA, Current IA, Next Year IA • PPCD Indicator and Location Code • Handicapping Conditions, Related Services • THEREFORE, when reviewing printed reports in SEM look to the SH closest to the report dates, when there is a question about campus, IA, related service, etc.

  3. Running Reports • date range, date range, date range • Use semester date range when looking for a snapshot • R/S for next year = 8/23/2012 to 12/31/2012 • Enrollment status • Source of data • Enrollment screen or • Student History • Questions about a student on a report????? • Go to Student History date closest to the date of the report

SEM Reports (State Report) Federal Count ARD/IEP Comp Exclusions-Alphabetic • A list of students whose ARD and/or FIE is out of • compliance on the date indicated. • Students on this list will not generate federal funds • unless action is taken by the snapshot date • Run report by month, snapshot date, EOY • The goal is to not have any students appear on the report

  7. SEM Reports (State Report) Federal Count Data List-Alphabetic • Students that are included in the federal count by age and • primary disability. • This is the backup information for the Federal • Count report (State paper format) • The goal is to have all students appear on the report

SEM Reports (State Report) Referral Timeline Audit Report • Tracks aReferral through initial ARD process. • All initial referrals should appear on this report • Supports Indicator 11 • To appear on report, student must have the following: • Referral and consent for testing dates on enrollment screen • First ARD is marked as “Initial” regardless of whether the student qualified for special education • FIE date must be included in the FIE tree on page 1 of ARD

  9. SEM Reports (State Report) Instructional Arrangement Report • Instructional arrangement and changes for each student • over a given time period. • Looks at instructional arrangement trends • Helps identify instructional arrangement errors

  10. SEM Reports (Student Lists): Class List by Subject • List of students by subject. • Subjects should be standardized and locked for this report to be used efficiently. • Students with Math Resource • Students with Speech Therapy

SEM Reports (Student Lists): Related Services Report • A list of students filtered by a selected related service. • Related service must be listed on schedule page • under Related Services • Must include service, provider, frequency, and • Qtr/Sem • Report can be run by related service and service type

SEM Reports (Misc Reports): Additional Assessments Requested • A list of all assessments that have been requested during • ARD meetings sorted by provider. • Needed assessment must be listed on page 1 under • “Other Evaluations/Assessments” • Needed and Monitor must be checked • The date the assessment is needed must be entered • under “Complete By”

  13. SEM Reports (Misc Reports): ARD Schedule Pages • Prints schedule pages for the selected group of • students. • Run all current or next year schedule pages for selected • group of students • Prompts compliance • Schedule • Accommodations • State Assessment

  14. SEM Reports (Misc Reports): Bulk Form Pages • Prints certain forms in bulk for the select group of • students. • Run bulk pages for selected group of students • IEP • Deliberations • Assessment Planning Supplements

  15. SEM Reports (Misc Reports): State Assessment Report • A list of state assessment tests to be taken and • modifications. • Report can be run for all test types or can be filtered by: • Test type • Grade • Accommodation

  16. RU Reports: ARD/FIE Lock Comparison • Check for ARD and FIE compliance within the past school year. • Runs report by staff • Identifies if staff are locking ARDs/FIEs in timely • manner

  17. RU Reports: Instructional Arrangement Changes at Given Date • Check for ARD and FIE compliance within the past school year. • Identifies students who have had an instructional • arrangement change for date indicated • Run at the beginning of each semester to • support compliance

RU Reports: Pre-Defined FIE/ARD Report • Four pre-defined reports that indicate the most recent • ARD and/or FIE dates and those students who have • draft FIEs. • Identifies students who have FIEs that have not been locked • FIE needs to be locked in order to report on data and for teachers to be able to pull information into student’s PLAAFP • FIE needs to be locked prior to rollover

RU Reports: Students with BIPs/Student BIPs • Three different reports: • A report of students with BIPs based on whether they have a behavior goal as part of their IEP; • Actual BIPs for the selected students; • A list of students who have been identified as needing BIPs based on the entry on Page 3 of ARD document. • Supports compliance by checking to see if students • documented as needing BIPs on page 3 of ARD • actually have one • Allows bulk printing of BIPs for selected students

RU Reports: List Student by Form • A list of students who have a particular form. • Personal Care • Compare who has personal care listed on their schedule (run Class List by Subject w/Personal Care selected) vs who has a Personal Care Supplement form indicated on this report • Transportation • Compare who is on the Transportation Related Services Report (SEM) vs who has a Transportation Information form indicated on this report

  21. RU Reports: Custom Reports • These are use-defined reports. The user can select from approximately 350 fields within Special Education Manager. Both current and historical information can be queried. • Identify what fields you want to include on the report • Filter fields as necessary to obtain required information

RU Custom Reports • Located in Report Utility • List of available fields located in Appendix C of SEM manual. • Very powerful • Run reports for past, present, and future on most any field in ARD • Non - ‘H’ fields • snapshot of current information comes from Student Information • ‘H’ fields – Student History records • Must use date range to direct the system to the correct student history record • Decide which history record to retrieve: First or Last

Steps to Running a Custom Report • Select existing report or create new report • Field = Column on printed report • Can have up to 15 columns on report • Fields w/ Operator = Filter criteria • Sort Fields = display order • Use expand if additional filter fields are needed • Dates - needed if using H fields • Optional • Edit column widths • Change font size

Custom Report Sort Fields • Operators • Equal to • Equal to or Greater than • Equal to or Less than • Not equal to • Criteria • If a dropbox appears, use criteria from list • If no dropbox, use YES or NO. • Parentheses • Allows user to group operations • Only use these if you need them – not necessary

Exporting Reports to Excel • Easiest is to have Excel and/or Word loaded on server by the district’s technology department • Excel allows the user an easy way to manipulate the data once the report is run • Several reports can be run and compared to each other • ASP districts (GG Consulting houses the server) have Excel on their servers • Click Icon in toolbar at top of screen when report is in Print Preview mode.

  29. Auditing Reports Report yields all students with speech services.

  30. LEP Students Report yields students who are Limited English Proficient.

  31. Students with Personal Care Report yields students with Personal Care Services indicated on page 2.

  32. RF Tracker Report yields students in a RF and has an IA less than 80.

  33. Students with IA of “00” Report yields students with IA of 00 that are not Speech

  34. Final Thought: Custom Reports – We are limited only by our imaginations!
