  5. What are Transcripts? Transcripts • College transcripts grow throughout the career of the student and provide a record of a student’s academic life during his/her time in college • Transcripts accurately record a student's educational path and grades at a college or university • Transcripts are valid regardless of how many years have passed since the student has earned a degree

  6. What are Transcripts? Official and Unofficial Transcripts • BGSU offers two types of transcripts to students: • Official Transcript • Unofficial Transcript (accessed through the Student Center)

  7. What are Transcripts? Official and Unofficial Transcripts BGSU offers one type of transcript to faculty and advisors: Unofficial Transcript (accessed through the Faculty Center)

Official Transcript Official Transcripts • The Official Transcript is a summary of a student’s academic performance and progress to date • Because Official Transcripts contain private information and bear so much weight as a measure of academic achievement, they are covered under FERPA and can only be released with a student’s permission • Official Transcripts cannot be viewed online by anyone and must be requested by the student in person, by mail or fax, or by using an online transcript request form

Unofficial Transcript Unofficial Transcripts • An Unofficial Transcript is a personal record of a students progress at BGSU • It contains the same information as the Official Transcript, and additional non-official information as well, but is not sent out by the university • Because of this, it is unlikely to be accepted by any prospective employer or another institution • The Unofficial Transcript is used more by students and advisors • Both Official and Unofficial Transcripts are offered to alumni and students at no cost

Official and Unofficial Transcripts Summary Official and Unofficial Transcripts • What are the major differences between the Official and Unofficial Transcript? • Unofficial shows major by term and term statistics • Official show the cumulative statistics at the end of the career or with the degree • Majors do not print on the Official Transcript unless a degree is received • Transfer courses appear in detail on the Unofficial and only in summary on the Official • Unofficial can be viewed online by students and advisors • Official cannot be viewed online but can be requested by the student in person, online, or by mail or fax using the approved form

And by the Way… Official and Unofficial Transcripts • What are the major differences between the old transcript and the new CSS transcript? • The old transcript was viewed in portrait format while the new transcript is viewed in landscape format • The old transcript had one line per course with the topic listed as class title • Topics now print with two lines: the course title and the class topic (if there is a class topic) • Academic standing now prints for all standings for every term • The new transcript is chronological by career

Faculty and Advisors • Please keep in mind that as an instructor or an advisor, you have a responsibility to identify to the student that an unofficial transcript is being reviewed or provided • Professors and Advisors use Unofficial Transcripts to track students’ progress, calculate grade point average, and determine future course selections • As part of BGSU, faculty and advisors must follow FERPA rules and regulations by preventing improper disclosure of personally identifiable information

  24. Who Needs Access to Transcripts? Students • Students request Official Transcripts for a variety of reasons: • When transferring from one college to another • When applying for an internship • When applying to any graduate program • When applying for a job
