  2. Summary • Back Up of databases • ICP KIT Demonstration

Back Up of databases • Create one folder for each quarter • In each folder you will save the following files: • Country Master file • Data Entry file • Prices data base in ICP KIT format • Average prices files (exported from ICP KIT) • You will need to update each folder each time you make corrections to the files.

  4. ICP KIT Demonstration • Remember you need to create one data base for each quarter. • In ICP KIT the creation of databases in done in the Data Entry Module, in the Set Up • In the “Create Database” box you will click on “…” • You will give a name to the database and save it in the correct folder • Click on “create” • In the “Change Database” box you will click on “…” • You will search for the database you have just created • Click on “save” • The name of the database will be displayed on top of screen.

You need to Upload your country master file • Click on “import master file” • If the master file is imported successfully you will get a “success” message • Set the dates for the quarter you are working on. (This step is extremely important) • You now need to upload your data • Go to multiple entry sheet • Click on “Data Entry Mode” • Click on “Import”

If you get an error message click on the link of the “errors file” on top of the screen • Remember to correct your data entry file in excel from bottom to top • Once you have finished uploading, click on “save” • Then unclick the “data entry mode” • Select the corresponding Dates (very important) • Click on “Get Data” • Make sure you have all the observations you have uploaded by checking the total number of observation at the bottom of the screen

You now need to validate your data • Go to the Validation Module • click on “change database” • You will search for the database you have just created • Get the data (be careful with the dates) • Set the parameters (CV =33, T ratio = 2, Overall deviation=50 and MinMax Ratio= 0.5) • Click on validate • Validate the observations highlighted with colors • Remember you have to click on the product you wan to validate and then go to the “observations” sheet to check each of them • If you want to reject an observation to “reject” column

  8. If your are correcting observations in the ICP KIT Validation Module, it is always a good idea to also correct them in the data entry template. In this case you will have back up in two different formats • You can also export the observations from ICP KIT Data entry Module once you have finish validating • You can also export the rejected observations separately • Make sure you save all the files in the corresponding folder • If there is more than one person correcting the database in different computers, she needs to export the raw data and make a joint raw data file to have all the information together. Remember that PCs do not communicate with each other with ICP KIT

  9. Once you have finished with validation, you need to export the averages • Click on Export • Select the option “averages”, “observations” or “both” • Select the quarter • Give a name to the file • Save it in the corresponding folder

  10. How to go from one database to the other? • You need to go to the Data Entry Module • In the “change database” box click on “…” • Search for the database you want to work on. • Click on “save” • To make sure you are working with the correct database check the name of it on top of the screen • You will set the dates (very important) • And then click on “Get Data” • In the validation module click on “change database” • Select the database and save.
