  2. We have Two Open Houses The fall event is the Square & Compasses Day Saturday, October 20, 2012 This Open House lines up candidates for spring degrees The spring event is the Open House Saturday, April 6, 2013 This Open House lines up candidates for fall degrees

  3. Open House Disclosure Two dozen donuts on the day of the Open House and the Ben Franklin DVD does not guarantee you will get potential applicants in the door. Don’t waste your lodge brothers’ time. Have an Open House marketing plan and execute it! Hope is not a strategy!!!

History of Open Houses The most active lodges in the state utilize their Ambassadors for running the Open Houses. • They look forward to the Open Houses • They have more candidates • They have more Rookie Award recipients • They pursue the Grand Master’s Award The least active lodges • Complain Open Houses don’t work

History of Open Houses What are the most active lodges in the State doing? • Recognize that over 50% of their candidates come through the Open House • They market well in advance • They use cooperative programs • They have marketing materials • They can communicate who they are and what they do

What Do You Need To Do? • What do you hope to accomplish? • Obtain / develop lodge marketing materials • Have advertising materials for the media • Prepare building for the day • Cooperative Programs • Have brothers ready for the day • What’s your plan for dealing with attendees? • What’s your plan for follow-up? • How will you measure success / disappointment?

Productive Open Houses What do you hope to accomplish? • Show the public you are alive & well in your community • Generate a reason why people should stop by • Build on the history & mystique of the Craft • Try and establish a mindset in the eyes of the men within the community that being a member of your lodge can make a difference in their lives • Identify quality men who truly should belong to the lodge

  8. Marketing Materials Obtain / Develop Lodge Marketing Materials • Grand Lodge has free Marketing Materials • Develop your Lodge’s Informational • Who are you? • What’s your History? • What do you do in your Community? • Include basic applicant information (not an application)

Marketing Have Advertising Materials for the Media • Obtain the materials from Grand Lodge (modify as needed) • Work with individuals from your local newspapers, cable TV., etc., to effectively insert advertising that will be noticed • Advertise early & often ( at least twice before each event • Where can you market? • Newspapers • Cable TV • Radio • Flyers • Churches, Town Hall, Supermarkets, etc.

  10. Marketing Remember we cannot advertise “come down and join the fraternity.” We can say, “come down and find out more about the fraternity.”

Marketing • Personal invitations to friends/family/associates • Personal invitations to local clergy • Have lodge sponsor Coffee Hours at local Churches/Temples prior to Open Houses • Request current members each bring a potential applicant to the Open House A personal referral to the fraternity is better than any media advertisement!

Your Building Prepare Building for the Day • Ideally, it’s done before Open House • Clean outside so it is inviting • Clean inside to make it inviting to women, children and men • Have general informational material table • Have quiet areas to talk more privately with interested visitors • Separate area for food and drinks

  13. Cooperative Programs • Blood Drives • Bone Marrow Registry Drives • Rainbow, DeMolay, Boy Scouts, etc., programs • Local Y.M.C.A. programs & initiatives • MYCHIP event • Police & Firefighters events/seminars

  14. Brothers in Attendance Have Brothers Ready for the Day • Who will set up, who will clean up? • What shifts will they participate in? • Have they been educated on what to say? • Who is the greeter? • Do you have multi-lingual members just in case? • Who will be in charge?

Dealing with Attendees What’s your plan for dealing with Attendees? • What information do you want each brother to share with each potential applicant? • Do you have a calendar of upcoming events for the Masonic year that can be reviewed? • Do you have marketing materials they can take home? • Do you have an informational sheet the potential applicant can fill out? You should not have any applicants filling out applications at Open Houses. This is not the time or the place!

Following Up What’s your Plan for Following Up? • Tell potential applicant when someone from your lodge will be in touch • Contact them when you said you would This is the start of the Application Process, not before! • Use standard Grand Lodge Applications • The need of a Background Check should not come up before you get to this point in the process (Do you know the background check process?)

  17. What were your Results? How will you measure success / disappointment? • Did you get enough people in the door? • Did you get potential applicants? • Did you get the desired participation from your lodge brothers? • Was this well planned, or did the lodge take the path of least resistance/participation? • As a Mason, were you proud of the presentation you made to the public? What can be done differently in the future to improve upon the plan?

Important to Your Success • Advertise Early & Often • Have a designated team specifically for the Open Houses • Don’t oversell! • Take pictures and follow up with media on results • Be honest with yourself on what worked and what didn’t • Prompt follow-up with potential applicant • What can be done better next time?

  19. Important to your Success It is recommended that all attendees dress in business suits on the day of the event. (Tux possibly for Worshipful Master) • When we attend lodge it is in a tux or suit • Lodges of Instruction are in suits • Table Lodges are in suits • Lodges of Exemplification are in a suit • Installations are in a suit • Masonic Memorial Services are in a suit Let’s set the precedent from the start!
