Booking System overview Our tracking solution is designed to help the customer with accurate despatch manifests in the delivery process delivering reports to check that their consigned items have been despatched. Our booking system is very easy to use that sends up to minute information directly to the logistic company. The tool builds your manifest as the day progresses and allows the delivery company to prepare. Get Started by downloading the file. Locating the file – Start – All Programs – Trackaparcel Full url = http://www.trackaparcel.co.uk/apps/booking/ Overview Trackaparcel booking system is very easy to use which sends up to minute information directly to the logistic company whilst building the manifest as the day progresses. More importantly the system creates accurate daily data Download here This allows the company in question to prepare for the days inventory so that they provide the service needed for you. File Tab – Used for exiting the program

  2. Booking Screen Opening View Items can only be booked in on today’s date or future dates. To select a date double click on the calendar. Manifested items panel allowing you to view what has been booked for delivery Booking area for Existing customers File Tab – Used for exiting the program

  3. Address Database Address Database Opens up the area where customer details are stored. Add and edit customers details Upload existing customers by spreadsheet Download all your customer details

  4. View / amend customer details View & Amend Click on to the customers details they will appear below and be edited Add new customer details here Quick fill address look up Once you have edited or added customer correctly look for the thumbs up and save.

  5. Spreadsheets import / export Import If you already have a spreadsheet of customer details upload them here. Please see next slide for more info on how to create a delimited file Export Downloading the address details deletes them from the system

  6. Creating tab delimited file Spreadsheet Save as (Other Formats) Tab delimited text file. This will convert the spread sheet into a text file like below: AddressCode Name Address1 Address2 Address3 Address4 PostCode Country RouteCode 8142/000 JACOBS Cream Cracker ST Next to Butter and Cheese Gloucester Nut 1y UK Create the Spreadsheet using the same heading format please ensure spelling are done exactly as you see them in this column as the system is case sensitive. Once you have saved your Tab- delimited file you are ready to upload it into the address database located at the top of your booking screen.

  7. System settings Settings The settings tab is the configuration panel to prefill set jobs that will save time when booking items out for despatch. Important: This is where you need to add your System Setting file that is sent to you. Without doing this your booking system will not work

  8. Import system setting file Importing file The file is delivered as an attachment by email Download file and Save it to a location that you can easily find. Import file then close the complete booking program Open the booking program and your customer settings are complete

  9. System settings System Settings System account details set by your provider. In this instance the customer can add addresses and has the ability to add services, countries and types of consignments to the system. Other tabs to continue set up process.

  10. Label Printer Label Printer Add printer to your computer first and run any software supplied. The system will detect all printers on your computer Select the printer by clicking relevant box.

  11. Services tab Adding Services If your provider has given you access to this facility you will be able to add the service yourself after agreeing it with your transport company. Add service required and press enter on your keyboard.

  12. Packages / Consignments Preset items Adding items that are sent regularly will save you time when booking them for shipment. Look for the Thumbs up to see if you have correctly filled in the form Adding your dimensions have to be done in millimetres SAVE

  13. Country Settings Adding Countries Countries that have been set for shipping To set counties simply add into the text box and press enter on your keyboard. The country will be added and will become visible in the top box.

  14. Lower screen Booking Select today’s date or future date you wish to send item. Add the customer code and the system will load the address details. Select the service required , add customer reference. Select a prefilled package size or add abnormal freight sizes in boxes provided. Prefilled dimensions Add Weight Abnormal dimensions

  15. Searching for customers Customer Codes Using customer codes to find the delivery details is the simplest and fastest way in which to select your customers delivery details. As you type the code the search will select the nearest option saving the need to type the whole code in.

  16. Manifested items Manifested Items As your manifest grows you are able to check the items are listed helping with making sure what should be sent out that day is being sent out. The system then sends the data instantly to the transport company so that they can prepare the right carriage for it. Especially helpful when shipping out large or heavy parts.

  17. Exporting Manifested Export Manifest Once you have finished the days manifest you have the ability to print this off in a excel format. The booking system allows you to go back to any date and carry out this same operation which is particularly helpful if you need to cross reference queries made. Especially helpful when shipping out large or heavy parts.
