  2. New Team Member • Helen Lu joined HR May 1st , 2014 as the Administrative Assistant and has years of experience teaching and translating English. • Demetriss Gilliam previously worked in Benefits and has been promoted to HR Assistant position and will assist me with the Temp Pool hires (timesheet, payroll), HR billing, Purchase orders and HR conference room reservations, etc.

  3. I-9 Review • If an employees is on the payroll system, they are required to complete a Form I-9. • I-9 Must be completed by the EMPLOYEE on or before the FIRSTdayof employment. • HR must E-verify the employee no later than the 3rd day of employment. If not, we are not in compliance with the Department of Homeland Security and can be fined or sanctioned. • I-9 work shop scheduled Thursday, May 29th at 10:00 am to 11:30 am in HR Training Room and currently none of you have signed up for the training. A training was held, last week and only 2 employees attended the training. Very important to attend if you are not familiar with the process. • Keep in mind that if a Volunteer status changes to a paid position, they are required to complete an I-9 form. Your participation will be greatly appreciated.

  4. I-9 Review • International workers, (J-1s, F-1s, OPT, H-1B and extension, Status change to Permanent Residency) are required to be E-Verified and a new I-9 should be completed in HR with the original documents. If we do not receive the extension, we will terminate the employee. This also affects payroll and whether they will receive a paycheck. • I-9 Compliance Committee for faculty. The first meeting is pending next month. • If you give the form to a new hire to walk over to HR and they don’t, you will have to figure out how to pay the employee because we will not be responsible for inputting the incorrect information in the system and be penalized.

  5. Non-UT Student Process • The Non UT Students process has changed effective immediately. You are not required to post the position in TALEO (applicant tracking system). HR will need the following: • Create a Position Number in IRIS • Resume/Transcript from Student • NEWComplete the NON- UT Student Request Form (Handout) • I-9 Referral Form • Fair Credit Check Prior to Start Date • Return Non-UT Student Request to HR for Approval…..

  6. Termination Codes Please make sure you use the correct termination code when terminating employees. This could affect whether or not a person is eligible for rehire. If you are not sure what code to use, contact HR and we will assist. Termination codes can be found at this link: http://policy.tennessee.edu/hr_policy/hr0160/#2

  7. Retirement Changes (July 1, 2014) • Employees starting on or after July 1st, 2014 will be under the new Retirement Plan. • Jonathan Gushenfrom UTK will be here June 10th for a session regarding the new Retirement Plans.  Business Managers will receive an email regarding the training and if not, you can register on the training portal.

  8. Directory Suppressed Employees We have 583 faculty, staff, and student employees that have elected to have their names and office contact information excluded. We are not sure if they intentionally selected to suppress their information. We will send them a correspondence to let them know that their information is suppressed and how they can make it public. HR will also send the Business Managers the list of faculty, staff and student employees so that you can help communicate to them.

Employee Relations/Performance Management Team (ERC/ESC; Grievance/Appeal Process; Drug and Alcohol Policy Awareness; Performance Mgmt/Improvement; Progressive Discipline; Assessment/Consulting with workplace issues; Mediation; Workplace Investigations; Lichterman Award; CESA Award) • We have an employee relations performance management team that is addressing employee and supervisor complaints and issues. Please contact HR if you have issues in your area that involves performance or conduct issues that need to be addressed. If you call our main line at 448-5600 they will direct you to the employee relations and performance management team for assistance.

  10. Employee Appreciation Friday, September 12th, 2014 Mark your calendars for this date to celebrate employees and the contribution they make to UTHSC!

  11. Training/Development • CAP Exam Changes • No exam in November due to change from paper to computer-based exam.  Content is the same. • Exact registration and exam dates have not been set, but they will be in March and September of 2015. • Updates will be posted on the CAP homepage.

  12. Training/Development • Career Development Fund Update • The Career Development Fund provides grants of up to $150 per fiscal year to non-exempt employees at all UT campuses and institutes. • Funds are limited and grants are approved on a first come-first served basis. • Non-exempt employees are encouraged to submit applications as early as possible if they would like to be considered for a grant. • Contact Darnita Brassel at 448-5600 for more information.
