MSDS changes • Vocabulary • Required – Must be there always • FirstName, LastName • Conditional – Must be there if it applies • Generates error if missing when needed • Attendance, ExitDate • Optional – No checks in MSDS if missing • No error occurs if missing • FTE, Phone • Does NOT mean “If I feel like it”

  9. MSDS changes • ECSpecialEdAssessment • New Component • Data collected on 3-5 Yr old students in special ed. programs • Beginning and end of their program • Asks how assessed & student’s score (6 questions)

  10. MSDS changes • ECSpecialEdAssessment • Previously, scan sheet • Teachers completed, sent through ISD to MDE to be scanned and compiled • 2010/11 – added to MSDS • Prior to 6/30 – already input • After 6/30 – report on MSDS • Any new entrances or exits to 9/29, enter with fall MSDS

  11. MSDS changes • ECSpecialEdAssessment • New data in MSDS • Possible new data in SRS • Processes need to be changed • Consider keeping scan form, then entering into MSDS directly

  12. MSDS changes • Graduation & Dropout Review • Graduation & Dropout Rate • Moving away from GAD app. • Moving away from Winter • Results sooner, reported sooner • Corrections must be DONE by 9/28 If you call the helpdesk @ MDE, don’t say GAD if you mean MSDS

  13. Graduation & Dropout Review • 09/10 Rates • 4 year – student started 9th grade in 06/07 • 5 year – students started 9th in 05/06 • 6 year – students started 9th in 04/05 • 80% is the target rate • Make in ANY year (4, 5, or 6) to make AYP • <80%, must meet improvement standard to make AYP

  14. Graduation & Dropout Review • Vocabulary • Grad rate + Dropout rate <> 100% • Grads, Non-grads, Dropouts • “Qualifying Count Dates” • Student must be in 2 counts to count at building • Must be in 1 count to count at District • Only Sept., Feb. General collections are “counts” for this use

Graduation & Dropout Review • Student Status • Dropout – Reported as having dropped out • MER – Missing expected record • Marked as continuing • Marked as transfer in state, not confirmed • Exempt – Exited out of State, Exited to non-public • Shared Time, non-public continuing – not included • Uses Residency codes, not exit codes, ’19’ kids

Graduation & Dropout Review • Student Status • On track graduated – has graduated in 4 years • Middle college – 5 years for both • Off Track Graduated – graduated, not in 4 years • Also “5+” graduates • Off track Continuing – has not yet graduated • Other completers – GED, other cert., aging out • Completers aren’t graduates, and shouldn’t be reported as such

  17. Graduation & Dropout Review • Security • GAD users did NOT get automatic access to all Graduation & Dropout Review functions • Super-users only • Must request new/added permissions • “Graduation/Dropout Reviewer” • Instructions on MSDS main Webpage

Graduation & Dropout Review • 09/10 Timelines • 8/5 Preliminary rates releases to LEAs • Through 9/28 • Summary reports and student lists available in MSDS under “Grad Cohort” • Use student lists to change Link UIC, Request PEPE change, change cohort • Use SRM to make exit code changes • Must be done by 9/28 • After 9/28 MSDS continues to change

Graduation & Dropout Review • Preliminary Rates • District and building level rates provided • Went to Supts., Principals, GAD, ISDs, and Grad/Drop reviewers • Not your final rate • Audits, Linking, other factors WILL cause changes • Will not match student summary in MSDS • Excellent tool to “motivate” building staff

Graduation & Dropout Review • What to look for.. • MER students – look for duplicate UIC • Student Search function • Check add/drop book, CA-60 requests • Consider exit forms if not already doing • Check your graduation list against CEPI’s • Track down any kids not on CEPI’s list • Summer grads reported through SRM • Must have 8/31 or earlier graduation & “as of” date • “As of” – When it happened, NOT when reported

  21. Graduation & Dropout Review • What to look for.. • Review PEPE reports • If incorrect, submit PEPE change request through student list. Building as well as district • Check dropouts for duplicate UIC • Similar to MER student • Review Cohorts for wrong years • If student is in wrong cohort, submit request to change • Can’t find cohort change screen, check your security!

Graduation & Dropout Review • What to look for.. • GED students • Not grads, but not dropouts either • If testing center, get data from GED coordinator • If not testing center, student approval needed • Work backwards too • Look at CA-60 requests from out of state or non-public, check against student list

Graduation & Dropout Review • Exit code changes • Changes that occurred after 6/30/09 • Use SRM to submit change • Prior to 7/1/09 – Can’t make in SRM • Submit to auditors during audit cycle • Look at ALL cohorts for 09/10 year • Even 2011,12,13,14 grads • Clean up EVERYTHING that happened last year

Graduation & Dropout Review • After 9/28 • Data taken out of MSDS, into GAD • Auditors run cyclical audit • Audits completed by 12/17 • Changes not caught by 9/28 • Auditors discression • 12/20 Prelim. rates created in GAD • Prelim. rates available for review in GAD to 1/14/11 • 1/28 rates finalized, reported to USED
