What does the leading record mean? • If the user is searching for a patient and not launching the Clinical Views directly from their EHR, a leading record needs to be chosen. • Choosing a leading record means that you are asking the system to display patient identifying information in the banner bar.

  4. When I search for a patient, why does the system return more than one record? • Because the dbMotion Clinical Views combines charts from various electronic medical records, the patient you are searching for may have multiple records. In addition, the patient may have various demographic information (e.g. a maiden name or multiple addresses). If searching for a patient, it is a good idea to double check the patient’s information to ensure it is the correct patient.

  5. Why are problems and medications displaying as active when they are not? • dbMotiondisplays what is documented in the source systems. Therefore, if any information seems like it is not updated, it is probably because the provider did not update the information.

  6. Why don’t the medications look like they do in my EHR? • The medication list in dbMotion may look different from the way it is displayed in your EHR. Because dbMotion receives medications from various sources, it needs one standard way to display the information. The generic medication name will display first, then the brand name.

  7. Why aren’t certain labs and medications displaying in the Diabetes or CHF clinical View? • The date range for display of information is different than the rest of the Clinical Views. If you don’t think all of the information is displaying, change the date filter to the desired time frame.

  8. I changed the date range on the Diabetes/CHF Clinical View and still don’t think I am seeing all of the relevant information? • The system will only display certain items on these pages. The information to be displayed is chosen when setting up the system. If you wish to see more information regarding specific information, it can be found in the other clinical views.

  9. Why are some allergies and medications in groups and some are not? • Medications and allergies will appear in like groups if there is a category for the item to fall into. If there is not, the ungrouped items will display below the grouped items. Even though they display below, it is still valid information.

  10. What is the difference between the labs page and the Lab History page? • The Lab page displays a comprehensive list of lab orders in a list format. It displays detailed lab event information in reverse chronological order.

  11. What is the difference between the labs page and the Lab History page? • The lab history page displays the lab result directly with less details about the lab order. To review more details about the lab order in this view click the lab result hyperlink.

  12. What does the green icon with a checkmark mean? • This icon indicates that all available data is being displayed for the selected filters. • A blinking yellow icon indicates more information is on its way. A notification to “refresh” will appear. Click on the refresh button on the top toolbar when this occurs. • The system was not able to receive all the data. One reason for this is if your electronic health record is “down”. Contact your help desk for help. What does it mean when the yellow icon is blinking? What does it mean when I see a red icon?

  13. What does the grid icon mean? • The grid icons are present on the summary page to indicate more data is available for the associated section. Clicking on the grid icon will take you to a page with additional information.

  14. What is the purpose of the filter buttons? • Filtering is not an option on every clinical view. When filter options are available you will see this icon . Clicking on this icon will provide a drop down list of items to sort by.

  16. Why is the Agent flashing? • The agent flashes to indicate a delta, which means information from other sources other than the user’s electronic health record is displayed. Clicking on the patient’s name will open the EHR Agent to the delta view. The agent will flash briefly and then stop, whether you open the EHR agent or not. If the agent does not flash it means the information inside the Agent is information that is already inside your electronic health record.

  17. What if I want to review ALL information, not just information from outside sources? • If you would like to view all information including information in your electronic health record as well as information from other sources, click the show all button.

  18. Why is the EHR Agent not appearing? • One reason why the EHR Agent may not appear might be because you have more than one patient chart open. For patient safety reasons, you can only have one instance of EHR Agent open on a patient at a time. If the EHR Agent is still not appearing call the help desk.

  19. Why do allergies, medications, problems, diagnosis, and procedures have plus signs beside them? • The technology inside this application allows similar allergies, medications, problems, diagnosis, and procedures to be grouped into like categories. This allows information from various sources to appear organized in the EHR Agent. To open the groupings, click the plus sign, or click the ungroup button in the top toolbar.

  20. I want to view more detailed information than is found in the EHR Agent. How can I do this? • Because the EHR Agent is a small application, there is not enough space to display every detail. Hovering over a line of information will provide a tooltip with more detailed information.

How can I do this? • If you still need more information, you can launch the Clinical Views application from the EHR Agent. To launch the Clinical Views application click the icon beside the specific category, or click the icon beside the patient’s name. The Clinical Views will provide more detailed information.

  22. What does the blue exclamation point mean? • The blue exclamation point indicates that you are viewing all the available information. You may also see the icons below. Error icon: All data is not available Warning Icon: Some information is not available. Note: 4.6 release only

  23. When I hover over a medication, there are letters beside the med. What do these represent? • When you hover over a medication a tooltip with more detailed information will display. You may notice these icons beside the medication. These medication types indicate the status of the medication. Prescribed Dispensed Administered Reported Note: 4.6 release only

  24. Why won’t it let me choose an item to send to my EHR? • You may notice a red symbol inside the checkbox of an item you wish to send to your EHR. • This indicates your EHR does not support this item, and you do not have the ability to send it to your EHR. Note: 4.6 release only

Why can’t I find information such as allergies and medications? • Collaborate only displays medical events such as hospital encounters, outpatient encounters, labs, images, referrals, and orders. If you want additional information such as allergies and medications launching the Clinical Views application will provide you with more detailed information about the patient. To launch the Clinical Views click this icon in the top banner bar.

  27. Why am I not seeing all the events for my patient? • Collaborate will only display recent information (6 weeks). If you want to display information further back in time, change the date range. • Also, Collaborate only displays information for which YOU are associated. Examples are, labs you ordered, a referral you sent, or you are the patient’s PCP.

Why can’t I add/remove patients to the disease management lists? • The disease management lists are auto-populated with patients that qualify for the conditions • Users cannot manually add/remove patients to this list • Users CAN add/remove patients to the “my patients” list and the “working lists” Note: 4.6 release only

  29. Why can’t I bulk file certain events? • The bulk filing feature allows bulk filing for various events but excludes referrals, orders, and quicknotes. Note: 4.6 release only
